Job overview

PLEASE NOTE THAT WE WILL ONLY ACCEPT APPLICATIONS FROM STAFF CURRENTLY EMPLOYED BY SWANSEA BAY UNIVERSITY HEALTH BOARD.

The post holder will provide direct day-to-day operational support to the Service Managers in the delivery of all waiting list targets. Ensuring effective day to day operational management in accordance with best practice and in the course of their duties.

Ensure that all admin staff work as an effective and efficient team to deliver excellent booking and Reception Services within the
Breast Department.

Responsible for the management and performance of the Admin Team, ensuring all tasks are conducted to the required standards
and in accordance with Health Board Policies and procedures.

Manage the Admin Team for Breast Surgery, which includes responsibility for appraisal, recruitment, Induction, staff training,
sickness/absence and performance management.

Monitor and develop the departmental rota. Provide all relevant staff with timely, up to date and accurate information by ensuring
that all changes are reflected on the rota system.

Ensure that required changes to systems and processes are implemented appropriately and documented in department
procedures/handbooks.

Represent the department at any relevant meetings, and disseminate information discussed during these meetings appropriately.

Support the Service Manager with continuous improvement initiatives and service redesign.

Main duties of the job

To line manage the Administrative Staff within the directorate to provide support to the Service Managers in the delivery of safe, efficient, effective and timely patient care across the Directorate.

To provide direct day-to-day operational support to the Service Managers in the provision of quality services within budget and that all opportunities for the continuous development and improvement of the service are appropriately considered and pursued.

To support the Service Managers in addressing urgent situations as and when they arise and know how to prioritise their workload.

To provide direct day-to-day operational support to the Service Managers in the delivery of all waiting list targets. Ensuring effective day to day operational management in accordance with best practice.

Essential Qualifications & Knowledge

Essential criteria

1. Educated to Degree level and/or experience of further personal development
2. Knowledge of Health Records policies, standard and law (e.g. Access to Health Records Act, FOI and Data protection Act, Retention).
3. Experience of managing a department
4. Experience supporting change and improvement projects.
5. Experience of managing and developing staff and teams
6. Experience and providing support and advice on Health Records issues Experience required to fulfil the post.

Desirable criteria

7. Experience of monitoring performance and implementing improvements

15. Welsh Language Skills are desirable levels 1 to 5 in understanding, speaking, reading, and writing in Welsh.
