About the role: Are you an organised, detail-oriented individual with a passion for supporting people and processes? We're looking for a proactive Administrator to join our dynamic STEPs Reablement Care team. In this key role, you'll provide vital administrative support, working one-to-one with the Registered Manager and providing personalised secretarial support in a well-organised and timely manner. Role Purpose: As the Reablement Administrator you will perform secretarial work and provide the Registered Reablement Manager with the day-to-day administrative support and anything delegated by the manager, to the Deputy Managers.
As you will be the Registered manager's first point of contact with people both internal and external to the organisation and your duties will include administrative tasks such as planning and scheduling events, handling correspondence and managing personal calendars and company deadlines.
The Reablement Administrator will provide supervisor support for the Out-Of-Hours-Service teams, Completing Supervision, PDP support and admin tasks related to OOHs, cover open shifts and manage their calendar.
You may be required to support with any administration tasks required by the Deputy Managers, Community Care Supervisors as directed by the Registered Manager.
What you'll be doing:
Supervise the Out-Of-Hours team, completing all supervision, PDP support and admin tasks such as managing of the rota calendar and organising cover where there are gaps within the rota.
Liaising with staff, suppliers, stakeholders and Service users.
Completing the weekly performance spreadsheet for Steps, training and delegating to Scheduler/Business support when on leave.
Respond to customer enquiries as received, where able resolve issues and record on feedback forms
Completing the weekly CCS office rota and the monthly OOHs rota.
Collate and complete the monthly performance reporting spreadsheet for Quality & Assurance Lead.
Planning and organising CCS to chair team meetings and arrange for appropriate cover to take the minutes.
Typing, compiling and preparing reports, presentations and correspondence as required by the Registered Manager.
Booking and support with agenda planning for CCS team meetings, take the minutes.
Monitoring SharePoint to ensure that data is correct and updated, ensuring any concerns are shared with the Manager in a timely fashion.
Implement a daily record spreadsheet of referral data, number received, number processed, number rejected, number accepted.
Oversight of productivity returns – ensure completed on time and that the data recorded is accurate and correct
Auditing performance targets and recording for the manager to refer to, including checking visits completed within working days, checking Care plans completed within days.
Gathering data entry for CCS supervision form to support the Deputy Registered Managers with the audits of care plans and diaries of interventions on a monthly basis.
Scheduling Registered manager appointments and managing diary entries.
Any additional administration tasks as requested by the Registered Manager.
Make phone calls to customers relating to Quality Assurance.
Support when busy to complete all administrative tasks involved with setting up a new customer on scheduling system.
Use a variety of systems to record data promptly and accurately.
Manage information in line with the Company’s policies, procedures and guidance on subjects such as Data Protection, Freedom of Information, confidentiality, information security and sharing, the information lifecycle and data quality, to ensure compliance and efficient and effective information governance.
To use related IT packages effectively, updating and maintaining computerised systems to ensure the team performs successfully.
Management and housekeeping of electronic folders.
Participation in service development projects, including tasks such as data collection and analysis.
Hold access to and limited oversight of Registered Manager Reablement email inbox and ensure urgent emails are responded to or forwarded to appropriate deputy managers in Registered managers absence.
Oversee incoming e-mail queries into the team mailbox screening them for the Registered manager.
Assist with the preparation and maintenance of statistical information as required
Undertake a range of other support tasks including photocopying, faxing, scanning and other general duties including filing, assisting managers with e-mails, post and room bookings.
Deal with telephone calls, in particular from customers, the public, other organisations, operational managers/staff and, in the absence of registered manager, provide advice and ensure urgent actions taken as necessary
To operate with due regard to Corserv Care’s confidentiality policies, the Data Protection Act and best practice
To ensure a positive and flexible approach to the variety of tasks and work patterns within the role as the team develops to enable effective and appropriate staffing levels to meet demand
Undertake Company mandatory training and be responsible for your own continued learning and development
This role is full time office based.
About you:
1. GCSE or equivalent in Mathematics and English or equivalent experience.
2. Experience in dealing with a wide range of stakeholders both internal and external to the Company including the tact and diplomacy required to deal with sensitive issues. Able to interact productively with managers and staff at all levels.
3. Sound experience of using Microsoft Office applications and proficient in accurately and appropriately storing or amending all relevant data on the appropriate software.
4. Ability to prioritise and manage day to day workload and work with the minimum amount of supervision.
5. Understands and applies the principles of the GDPR & the Freedom of Information Act.
6. Good oral communication skills both face-to-face and all other means of communication.
7. Experience of being proactive and able to problem solve, and meeting deadlines.
8. Ability to work effectively as part of the STEPs Reablement Team.
9. Educated to NVQ level in health and social care or equivalent experience.
10. Educated to NVQ level in business and administration or equivalent experience.
11. Experience within the care sector or similar is desirable.
