Location: Office-based (Domiciliary Care Service)
Reports to: Registered Manager / Care Coordinator
Hours: Full-time / Part-time

Job Purpose
The Office Administrator supports the smooth running of the domiciliary care office by providing high-quality administrative, clerical, and organisational support. The role ensures accurate record-keeping, effective communication, and compliance with CQC and company standards.
Key Responsibilities
* Administrative Support:
o Maintain accurate and up-to-date records, files, and documentation.
o Manage incoming calls, emails, and enquiries.
o Support coordination team with scheduling and rota updates.
o Prepare letters, reports, and meeting minutes.
o Maintain office supplies and equipment.
* Compliance & Record Keeping:
o Ensure documentation meets CQC, GDPR, and company standards.
o Maintain staff files, training records, DBS checks, and right‑to‑work documents.
o Support incident/accident logging and audits.
o Update digital systems such as QCS, Nourish, Allocate.
* Customer Service:
o Provide excellent customer service to service users, families, and professionals.
o Handle queries and concerns promptly.
o Support welfare calls when required.
* Operational Support:
o Assist with onboarding new staff.
o Support payroll preparation.
o Help maintain staff rotas.
o Support the Registered Manager with audits and reporting.
Skills & Experience Required
* Essential:
o Strong administrative experience.
o Excellent communication skills.
o Strong organisational abilities.
o Competent IT skills.
o Ability to maintain confidentiality.
* Desirable:
o Experience in health or social care.
o Knowledge of CQC requirements.
o Familiarity with QCS, Nourish, Allocate.
