Job Title: Head of Business Support Services

Location: Edinburgh, Onsite/Hybrid

Department: Business Support

Reports To: Chief Executive Officer

Position Type: Full-time

Compensation: £40-55k + options

As a spin-out from the University of Edinburgh, we are at the forefront of clean heat innovation, providing scalable, efficient, and cost-effective decarbonisation solutions for industrial processes and large-scale building heating.


Job Description:

The Head of Business Support Services is responsible for ensuring the efficient, effective and compliant management of the company’s business support functions that enable the business to operate in a dynamic customer-focused environment.

The postholder will have responsibility for management of support services including facilities, HR, general administration, procurement, IT systems, and financial processes, ensuring compliance with relevant legislation, standards, and industry best practice frameworks.

This role is suited to an experienced manager of back-office functions, who is dedicated to support service excellence. The Head of Business Support Services is expected to be able to work independently, juggle competing priorities, and deliver efficient and reliable support across all back-office functions within a dynamic and growing business environment.


Key Responsibilities:


Business Management (support functions)

* Provide central business support to leadership and delivery teams, managing back-office systems and associated contracts, company policy, processes, documentation, travel, and facilities and administrative staff.
* Manage travel, events and general administration.


Health, Safety & Compliance

* Co-ordinate and administrate training, audits, incident reporting and corrective actions.
* Manage register of required certifications, inspections and audits supporting accurate and timely completion.


Finance

* Manage the purchase order, invoices and operational expenditure processes.
* Manage support function suppliers and contractors, ensuring value, quality and timely performance.
* Manage procurement processes, supplier registers and insurance documentation.
* Support the CFO on insurance renewals, cost tracking and budget monitoring.


HR & People Administration

* Responsible for HR compliance including GDPR.
* Manage HR administration including recruitment coordination, onboarding, training and leave management.
* Manage travel booking process, ensuring efficient administration and value for money.
* Maintain up-to-date policies, contracts and employee records.
* Support performance management and staff development processes, ensuring effective documentation and execution.
* Support employee engagement and wellbeing activities.


IT & Systems

* Manage IT support contracts and policies including liaising with external IT providers.
* Maintain digital systems and document control (such as SharePoint, Teams, Office 365).
* Identify opportunities to improve efficiency and digital working practices.


Sustainability & ESG

* Support the company’s sustainability and ESG goals, maintaining environmental and energy records.
* Manage and administer data for environmental and grant reporting.


Essential Requirements:

* Experience of managing multiple back-office functions, services and associated contracts (including HR, facilities, IT, finance and general administration in a technical or high growth environment.
* Dedicated to delivering excellence in business support.
* A great team player but with a proven ability to operate independently when required.
* Financial and commercial awareness; conversant with systems and processes for managing, maintaining and administering, purchase orders, invoice reconciliation and approval workflows.
* Strong organisational and problem-solving skills.
* Excellent report writing and communication skills.
* Line management experience.
* Competent user of Microsoft Office 365 and business systems.

What we offer:

* A supportive, inclusive team culture. We value diverse perspectives and encourage collaboration.
* £40k - £55k per annum depending on experience, and EMI options after 6 months.
* 34 days annual leave (25 flexible + 9 fixed annual leave days which can either be the Scottish Bank Holidays or aligned to the school term breaks in your council area of residence).
* Hybrid working.
* Compressed Hours (35 hr/week).
