Job Summary
The Ophthalmology service is looking to recruit a highly motivated, reliable, and focused Medical Secretary Supervisor to join our welcoming team. We are a creative and innovative team working in one of the largest services in the Trust and require someone who is flexible to change and adaptable to the pressures of changing priorities and urgent tasks. A proactive approach, good judgement, initiative and critical thinking skills are crucial to managing this diverse and demanding role.
Main Duties
* Provide a complete confidential medical secretarial service for the medical team, including organisation of meetings and taking minutes.
* Conduct and prioritise tasks on own initiative and within tight deadlines to meet Trust standards and targets.
* Handle complex information daily, exercising initiative and judgement based on acquired knowledge and experience.
* Type clinical letters and communicate with clinicians, patients, and carers, ensuring clear understanding of medical terminology, phraseology and medications.
* Act as point of contact for GPs and Health Care Professionals and patients/carers, often highly emotional and distressed, ensuring communication barriers are overcome.
* Understand the patient pathway and provide information and reassurance in a professional manner.
* Deal with queries and instigate appropriate action.
* Use Microsoft Office (Outlook, Word, PowerPoint, Excel) to produce clinical letters and other correspondence.
* Use UHB systems to provide information for consultants, GPs and patients, as well as coordinate and manage theatre lists.

Person Specification – Qualifications (Essential)
* Good general education (e.g. GCSE English and Maths A-C) level 9-4
* Business Administration NVQ level 3 or equivalent experience in a clerical environment
* MSA or equivalent medical terminology knowledge
* Working knowledge of medical terminology
Experience (Essential)
* Experience working as a Medical Secretary
* Experience dealing with public/customer service
* Experience using Microsoft Office packages (e.g. Word, Excel and Outlook)
* Experience using IT systems
* Experience working in healthcare
* Good organisational skills
* Ability to work independently, under pressure and to deadlines
