Overview
An opportunity has arisen for a band 3 Clerical Officer, 30 hours, permanent post within the Department of Medicine for Diabetes and Endocrinology. The post holder will work alongside the current admin team, providing clerical and administrative support including RTT- (validation and booking of clinics), our Diabetes Specialist Nurse Service and our Diabetes Pump service. They must be able to prioritise and manage their workload and provide support where needed.
Responsibilities
* To input statistics and information from Records into a database and manage the system. All the department recorded activity is input into the system daily.
* To liaise with manager to maintain a quality information system and identify potential flaws which would affect data.
* To access the database to retrieve information and produce statistics and reports for the Trust.
* General reception duties involving first contact with individuals attending the Department. Giving necessary information or referring them to the appropriate member of staff.
* Communicating with all levels of staff in a polite and pleasant manner including dealing with telephone enquiries and requests and taking appropriate action.
* Opening, sorting and date stamping the department internal and external post. Photocopying documents and sending Faxes as required.
* Manage and update the filing system, archiving notes as necessary from the Sep 2021 current files. Maintenance of Records.
* Organise notes for doctors clinics sessions involving making appointments, dealing with queries, obtaining management referral letters, maintaining appointments diary, retrieving notes and writing to managers about staff who do not attend.
* Ensure relevant documentation is completed to ensure smooth running of the clinic.
* Access results on iPM systems as and when required in a highly confidential manner.
* Send out information to departments on request, but maintain confidentiality.
* Responsible for stock control and ordering stationery as required from reprographics and stationers.
* Provide clerical and administrative support for staff.
* Organise and retrieve notes required for the daily appointment system.
* Clinical Governance / Quality: To liaise with manager to maintain a quality information system and identify potential flaws which would affect data.
* The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
Qualifications
* NVQ 3 or equivalent in relevant area, Previous NHS Experience, Knowledge of the NHS - iPM, ICE, Choose & Book systems, IT skills
* Good communication and organisational skills
* Previous clerical experience
* Able to maintain confidentiality
* Able to work on own initiative and as part of a team
