As the Office Administrator - Production, you will be responsible for the day-to-day administration for Production. You will support the Production Co-ordination Lead to ensure the smooth progression of orders through production, meeting and negotiating the customers delivery schedule. All works orders containing traceable components as delegated or in the absence of the Production Co-ordination Lead, you will be responsible for the allocation these items. Working with the Production Co-ordination Lead to ensure the communication to all parties involved in this process. You will need to be able to plan and prioritise your workload.
In addition you will need to be confident taking phone calls, responding to emails and welcoming visitors to the building.
You are responsible to comply with the company's 'Staff' and 'Health & Safety' handbooks, ensuring you always follow the company policies and procedures.
KEY AREAS OF RESPONSIBILITY:
DAILY
· Adding sales orders to the IMS system
· Process all customer 'Spare Parts' orders
· Emailing customers to check delivery addresses
· Liaising with the Drawings Team to confirm the unit numbers where required for production
· Liaising with the ASM's regarding their orders and deliveries
· Assisting the Production Co-ordination Lead with all deliveries and book them onto the courier/Transport Company system for collection
· Answering the telephone and directing the caller to the correct member of staff
· Double checking and filling completed orders
WEEKLY
· Ensuring the address number stickers are ready the next weeks production
MONTHLY
· Completing the monthly LIA figures
AS REQUIRED
· Covering Production Co-ordination Leads duties when on leave
· Assist with general office administration as identified and to support holiday cover
· Supporting the Sales Quotes department as necessary to process quotations for customers
COMPANY MEETINGS
· Weekly Production meetings
· Appraisal as scheduled by your Line Manager
· Communication Meetings as scheduled

FULL TRAINING AND SUPPORT WILL BE GIVEN AND ALL STAFF HAVE A FULL INDUCTION TO THE BUSINESS
