Overview
NHS Greater Glasgow and Clyde (NHSGGC) is one of the largest healthcare systems in the United Kingdom, employing approximately 40,000 staff across a wide range of clinical and non-clinical professions and roles. The post holder will be part of the Business Support Team within East Dunbartonshire HSCP, working directly with the multi-disciplinary/multi-agency team to support the service. It is essential that the post holder has excellent communication skills with the ability to relate to a wide range of personalities.
New employees will undertake an induction/training programme. This will be a minimum of 4 weeks depending on the department and location.
The Role
The post holder will be part of the Administrative & Clerical Team within East Dunbartonshire HSCP, working directly with the multi-disciplinary and administration team to support the service. The post holder will be required to provide an effective and efficient secretarial and administrative service to all members of the team. It is essential that the post holder is a proficient typist with excellent organisational and communication skills with the ability to relate to a wide range of personalities.

Shift Pattern - 0900-1700/30
Key Responsibilities
1. Provide a high quality secretarial and administrative service for the multi-disciplinary/multi-agency team to ensure efficiency in patient care within the HSCP.
2. Record and prepare draft minutes of meetings.
3. Copy and audio typing.
4. Deal with telephone and face to face enquiries from all staff groups, patients, relatives, carers, providing information, directing and prioritising queries as appropriate to ensure efficiency and effectiveness of service delivery.
5. Filing/maintaining client’s records in line with standards, including discharges from the service, and/or files from other NHS departments complying with the Data Protection Act.
6. Prepare, plan and organise all aspects of out-patient clinics where applicable.
7. Maintain team diary, appointment systems and office information systems within the department.
Knowledge, training, qualifications and/or experience
Essential
* 1 year’s secretarial experience
* Standard Grade English or equivalent experience
* Proficient in use of Microsoft Office Software including Microsoft Outlook
* Experience of working in an administrative background
* Keyboard skills requiring a high degree of speed and accuracy
* Audio Typing
* Excellent interpersonal skills
* Good planning and organisation skills
* Excellent communication skills
* Ability to work as part of a team
* Ability to prioritise workload and exercise initiative
* Flexibility
Desirable
* Experience of working within a NHS environment
* Understanding of the function of the professions within the multi-disciplinary team
