Admissions Co-ordinator (Bespoke Educational Consultancy)– Job Description

Beach Education is a specialist UK boarding school consultancy working closely with families and leading independent schools.

We are seeking an office-based Admissions Coordinator to manage and progress family enquiries through a long-term admissions pipeline, from first contact through to school placement several years later.

This role is highly CRM-driven and requires someone confident tracking, updating and nurturing multiple relationships over time.

You will be the central point of coordination between families, schools and internal systems, ensuring no enquiry or relationship is ever lost.

This is not a teaching, SEN or pastoral role. It is an administrative and relationship-management position based in our Frome office.

This newly created role will provide high-quality support to the Director and ensure excellent engagement with families and schools before, during, and after events. The post holder will be proactive, organised, warm, and detail-driven, with a strong focus on relationship building and follow-through.


Key Responsibilities


Post-Event Follow-Up & Family Engagement

* Lead all post-event communication with families, sending tailored follow-up emails and tracking progress.
* Maintain close contact with schools to ensure clarity on each family’s status and next steps.
* Arrange and record post-event review calls with schools.
* Develop and maintain a tracking system (CRM or spreadsheet) for families from first contact to enrolment.
* Support arrangements for school visits and other necessary follow-up actions.
* Assist the Director in preparing personalised school recommendations for families.
* Outreach for our charity partners – spend 4 hours a week on this.


Success Target

After 1 year targets can be set.


Event Support & Development

* Provide practical support at events (abroad), ensuring a smooth and professional experience for families and schools.
* Suggest improvements to event format, logistics, materials, and communications.
* Help develop new initiatives such as webinars, updated pre-visit information, and improved marketing/engagement materials.
* Build and maintain strong relationships with admissions teams, partner schools, external event organisers, and families.
* Support families through their admissions journey with clarity, warmth, and high-quality communication.
* Identify opportunities for new partnerships, markets, or collaborations as the business expands.


Administrative & Organisational Support

* Follow up on leads and enquiries; maintain accurate records of all correspondence.
* Manage diaries, appointments, and schedules for the Director where required.
* Maintain organised electronic files and systems, helping to further digitise Beach Education’s processes.
* Prepare documents, reports, and correspondence; handle confidential information with absolute discretion.
* Provide support on behalf of the Director when she is unavailable.
* Travel to schools across the UK for relationship-building and to support events.
* Assist with invigilation of exams when required.
* Contribute to ad-hoc projects and business development activities.


Contract

Full-time


Probation

1 year (formal review at 6 months). During probation, either side may give one month’s notice. After 1 year this will increase to 3 months’ notice.


Reporting to

Director (Fiona Beach-MacGeagh)


Salary

£25,000–£28,000 depending on experience per annum


Hours

35 hours per week (Monday–Friday, 9am–5pm with 1 hour lunch between 12–2pm). Flexibility is required for occasional evening calls (time zone differences) and weekend events. Flexibility/reduced hours during school holidays will be considered.

This role occasionally requires work outside normal office hours. Advance notice will be given wherever possible, and time off in lieu will be agreed with the Director.


Holiday

28 days per year (including bank holidays within the 28 days).


Events

Approximately 2 weekends per term (around 5-6 per year) if needed.


Location

Frome office (some flexibility can be considered during school holidays)


Mileage

£0.45 per mile up to 10,000 miles; £0.25 per mile thereafter (for school visits/airport runs).


Expenses While Abroad

All reasonable travel, accommodation, and subsistence expenses for overseas events (Bermuda/Caribbean) will be covered by Beach Education. Please speak to the Director for approval and island allowance.


Annual Review

Objectives will be agreed with the Director and reviewed formally as part of the annual appraisal process.

All applicants must have the right to work in the UK and hold a valid passport for travel.


Person Specification, Skills & Attributes

* Excellent written and verbal communication skills.
* Must be happy to travel abroad if needed at certain events throughout the year.
* Proficient with Microsoft Office (Word, PowerPoint, Excel) and Google platform and confident using technology.
* Highly organised, able to manage multiple tasks and adapt quickly to changing plans.
* Proactive, self‑motivated, confident, and solutions‑focused.
* Strong relationship‑building ability with a range of stakeholders.
* Calm, composed, and reliable under pressure.
* Strong attention to detail and commitment to high‑quality outcomes.
* Ability to work independently and manage time effectively.
* Willingness to ask for clarification when needed.
* Diplomatic, discreet, and trustworthy.


Knowledge & Experience

* Experience working in a private boarding school or education environment (highly desirable).
* Experience hosting high level events.
* Good knowledge of CRM and how to develop it for Beach Education.
* Understanding of basic office administration and digital filing systems.
* Experience prioritising a busy workload and managing conflicting deadlines.
* Commitment to safeguarding and GDPR best practice.
* Excellent interpersonal skills and a warm, professional manner.
* Flexible team player with a positive attitude and sense of humour.

Education is fast‑moving, and all staff are expected to contribute positively to Beach Education’s activities and adopt a flexible approach. Responsibilities may evolve over time, and the post holder may be asked to undertake other tasks appropriate to the role and business needs.
