We are seeking a Project Administrator to support our research project, HESTIA. HESTIA is the main output of the Oxford Martin Programme on Food Sustainability, based in the Department of Biology at the University of Oxford. The project involves team members at Leiden University and the NGO WRAP. HESTIA provides key scientific and digital infrastructure to quantify, communicate, and reduce food’s environmental impacts, emphasizing open-source and open-access resources.
Your role will focus on providing administrative support across various areas, primarily working with the project lead, Dr. Joseph Poore, and supporting other team members.

HESTIA offers extensive data and tools for understanding food's environmental impacts, trusted by researchers, policymakers, NGOs, and companies worldwide. It includes a large data archive, benchmark data for crops, calculation tools via an open API, and a unique open-source data format shaping policy and supply chain data sharing.
Responsibilities
1. Project financial management: Creating costings, tracking budgets, approving invoices, managing expenses, drafting contracts, creating purchase orders, and preparing financial reports.
2. Event organisation: Coordinating team and external partner meetings.
3. Internships: Advertising roles, onboarding interns, and managing internship programs.
4. Recruitment: Supporting hiring and onboarding processes.
5. Training: Ensuring team training needs are met and identifying new opportunities.
6. Compliance and legal: Managing contracts, ensuring training completion, and adherence to policies.
7. Funder reporting: Assisting with progress reports to funders.
8. Fundraising support: Identifying opportunities, proposal support, and engagement.
9. Ad-hoc admin support: Conference logistics, travel bookings, and related tasks.
10. Communications support: Managing LinkedIn, blog posts, videos, and liaising with communication teams.
11. Future roles: Potentially increasing project management responsibilities and working towards an operating officer role.
Essential Selection Criteria

* Proficiency in Excel.
