About the Role
The Diary Optimisation Manager will play a pivotal role in the Clinician Operations team, responsible for optimising the utilisation and availability of the clinical workforce across all assessment pathways.
You'll ensure that every clinician's time is structured, visible, and aligned to contractual delivery targets—while using data-driven insights to forecast future needs, manage capacity, and support sustainable growth.
It's a hands-on, analytical leadership role that combines operational planning, workforce optimisation, and people management.
Key Responsibilities Clinical Diary Optimisation
 * Own the end-to-end clinician scheduling process across a large portfolio of sites, ensuring efficient, well-balanced diaries.
 * Oversee rota setup across multiple services, maintaining equitable allocation and minimal downtime.
 * Regularly analyse diary data to identify and resolve inefficiencies.
Capacity Planning & Forecasting
 * Develop and maintain workforce capacity models aligned with referral trends and productivity data.
 * Collaborate with the Clinical Director to forecast workforce requirements in line with service growth.
Data Analysis & Performance
 * Analyse scheduling and throughput data to support evidence-based decision-making.
 * Monitor KPIs such as utilisation rates, cancellations, and wait-time impacts.
 * Present operational insights clearly to senior leadership and commissioners.
Team Leadership
 * Line-manage a small, high-performing team focused on onboarding, diary administration, and compliance.
 * Set clear objectives, monitor performance, and drive continuous improvement.
Skills & Experience Essential:
 * Proven experience in diary, workforce, or capacity management (healthcare or large-scale service environment).
 * Strong analytical and Excel/Power BI skills, with the ability to turn data into decisions.
 * Exceptional accuracy and attention to detail.
 * Experience managing deadlines and competing priorities in a high-volume environment.
 * Excellent communication and stakeholder management skills.
 * A proactive, solution-focused mindset and strong organisational ability.
