An exciting opportunity has arisen for a highly organised and proactive Clinical Services Administrator to join and support our clinical teams.
As a Clinical Services Administrator, you will play a pivotal role in delivering a comprehensive administrative service. You will be the key point of contact for managing communication, scheduling, documentation, and supporting clinical governance processes. This is a dynamic and varied role ideal for someone who thrives in a fast-paced, multi-disciplinary environment.
Main duties of the job
* Provide high-level administrative support to the Clinical teams, assisting with data collection, audit reporting, and general communications.
* Support Lead Nurses with administrative tasks such as monthly rota creation, 1:1 scheduling, ambulance bookings, and patient satisfaction surveys.
* Assist with patient admission and discharge, liaising with families and funeral directors.
* Act as a first point of contact by answering telephones and managing enquiries when nursing staff are unavailable.
* Receive and process referrals through SystmOne, NHS email, and fax.
* Support Clinical Governance and Clinical Effectiveness meetings by collating reports and documentation.
What you'll need:
* Proven experience in an administrative role, preferably in healthcare.
* Excellent organisational and communication skills.
* Strong attention to detail and ability to manage multiple priorities.
* Willingness to train as a Super-user in clinical systems like SystmOne.
* Experience in minute-taking and handling confidential information.
* Proficiency in Microsoft Office and IT systems.

Job responsibilities
* Provide administrative support to nursing, medical teams, and external agencies.
* Support Lead Nurses with rota management, meeting organisation, minute-taking, ambulance bookings, and patient satisfaction surveys.
* Assist with patient admissions, liaising with families and ensuring documentation is complete.
* Answer calls, respond to enquiries, and escalate as needed.
* Coordinate meetings, prepare agendas and minutes, and maintain documentation.
* Liaise with families and funeral directors after patient deaths.
* Minute meetings such as Infection Control and Falls group.
* Handle ad-hoc admin tasks like CHC applications and medication requests.
* Provide cover for other administrators when necessary.
* Manage referrals via SystmOne, fax, or email.
* Support Clinical Governance activities, including incident and device alert reports.
* Act as a SystmOne Super-user, providing training and overseeing system development.
* Coordinate and publish the on-call rota.
* Cover reception duties as required.
