Operations Manager - HealthHarmonie ADHD Assessment Service
Location: Hybrid - London or Birmingham
Hours: Full-time, Monday to Friday (with flexibility to support 7-day service operations)

Our ADHD Assessment Service provides timely and compassionate support for patients and families navigating diagnosis, treatment, and aftercare. We are growing rapidly and seek an experienced Operations Manager to oversee multiple facets of this service and related business functions.
Role Overview
The Operations Manager will hold overall responsibility for the smooth and efficient running of the ADHD Assessment Service and other related business areas. You will manage operational, clinical, financial, and staffing functions to ensure a high-quality, compliant, and patient-focused service.
You will work closely with senior stakeholders, clinicians, patient liaison teams, and external partners to drive continuous improvement, meet regulatory standards, and ensure operational excellence.
Key Responsibilities
Leadership & Team Management
* Lead, supervise, and support a multi-disciplinary team, fostering a culture of compassion, accountability, and professional development.
* Manage recruitment, retention, induction, training, and appraisal of staff, ensuring skills and deployment meet service needs.
* Oversee rota management and ensure shift coverage to support 7-day service delivery.
* Act as a mentor and support conflict resolution and grievance management.
Operational Management
* Oversee patient referral processing, triage, appointment scheduling, virtual consultation support, and aftercare communication.
* Manage day-to-day business operations ensuring efficiency, safety, and effectiveness.
* Coordinate and lead projects for service development, digital system implementation (e.g., EMIS Web, Hero Health), and process improvements.
* Ensure compliance with healthcare governance, data protection standards, and CQC regulations.
* Maintain and review clinical and operational protocols, policies, and procedures.
Financial & Resource Management
* Manage budgets, monitor income and expenditure, and maximise revenue streams in liaison with NHS, ICB, and other funding bodies.
* Oversee payroll, procurement, and resource allocation to align with financial targets.
* Monitor cash flow and prepare financial reports for senior leadership.
Quality & Compliance
* Lead quality assurance initiatives, audits, and risk assessments.
* Ensure service meets or exceeds contractual and regulatory standards.
* Maintain health and safety policies and oversee infection control and workplace safety measures.
* Manage complaints handling and patient feedback systems to enhance service delivery.
Communication & Stakeholder Engagement
* Serve as the primary escalation point for complex patient, GP, and internal queries.
* Develop and maintain effective communication with clinicians, patients, partner organisations, and regulatory bodies.
* Convene and lead meetings, prepare reports, and contribute to strategic planning.
* Represent the service in PCN and other healthcare networks.
What You'll Need
Essential:
* Proven leadership and operational management experience in healthcare or patient-facing environments, ideally including GP practice or similar settings.
* Strong organisational, financial, and people management skills.
* Excellent communication and interpersonal skills, with the ability to manage sensitive information confidentially.
* Knowledge of healthcare governance, CQC standards, and data protection legislation.
* Proficient with clinical and practice management IT systems (e.g., EMIS Web).
Desirable:
* Experience in mental health or ADHD service provision.
* Familiarity with NHS contracts, PCN collaboration, and healthcare commissioning processes.
