Job Summary

As the bookings manager you are a key senior member of the team, reporting directly into the general manager and venue owner. The focus of the role is to ensure bookings are facilitated so the venue can run at optimum capacity. You will be responsible for managing reservations, coordinating events, and providing exceptional customer service to patrons. This role requires excellent organizational skills, attention to detail, and strong communication abilities to create a memorable experience for our guests.


Key Responsibilities:


1. Booking Management:

* Handle inquiries and booking requests from customers via phone, email, and in-person.
* Maintain an up-to-date booking calendar to track reservations and availability.
* Ensure accurate data entry of reservation details, including party size, special requests, and contact information.
* Confirm and manage bookings, including sending confirmation emails or making follow-up calls.


2. Event Coordination:

* Collaborate with customers to plan and organise events such as private parties, meetings, and gatherings.
* Coordinate with kitchen and service staff to ensure timely and efficient service during events.
* Arrange for any special requests, decorations, or equipment needed for events.
* Oversee the setup and cleanup of event spaces to meet customer expectations.


3. Customer Service:

* Provide excellent customer service by being attentive, friendly, and responsive to customer needs.
* Address and resolve any issues or complaints from customers promptly and professionally.
* Build and maintain positive relationships with regular customers and event organizers.


4. Marketing and Promotion:

* Collaborate with the marketing team to promote the pub's booking services through various channels, including social media, the website, and local advertising.
* Assist in creating and distributing promotional materials and packages for events.


5. Reporting and Financial Management:

* Keep accurate records of reservations, deposits, and payments.
* Provide regular reports to the general manager/owner on booking trends, revenue, and customer feedback.
* Assist in setting pricing strategies and monitoring the financial performance of the booking department.


Qualifications:

* Previous experience in a similar role, preferably in the hospitality industry.
* Strong organisational skills and attention to detail.
* Excellent communication and interpersonal skills.
* Ability to work in a fast-paced environment and handle multiple tasks simultaneously.
* Proficiency in using booking software and basic office software (e.g., Design My Night).
