What Youll Be Doing
Strategic diary management Youll own the calendars of both executives - not just filling slots, but managing time strategically. That means anticipating conflicts before they happen, understanding priorities well enough to make smart trade‑off decisions, protecting key recurring meetings and leadership cadences, and maintaining flawless meeting logistics (links, attendees, locations, titles). When competing priorities arise, youll come with a recommended solution, not just the problem.
Independent problem solving When something goes wrong, or looks like it might, youll be the one who resolves it. Whether its a logistical snag with travel, an event that needs last‑minute rescheduling, or a workspace issue that needs sorting, youll handle it end‑to‑end without needing to be chased. You bring solutions to the table, not just escalations.
Project and task ownership Youll take on delegated projects and see them through to completion with minimal oversight. That means proactively tracking progress, sharing timely updates, and making sure nothing falls through the cracks.
Stakeholder and correspondence management Youll manage inbound requests, screen correspondence, and handle communications on behalf of the executives where appropriate – always with discretion and good judgement about what requires their attention and what you can resolve yourself.
Travel and event planning Youll arrange travel, accommodation, and logistics for both executives, thinking through the details others might miss. Youll also plan and coordinate team meetings, offsites, board events, and social occasions – managing everything from invites and agendas to catering, timings, and on‑the‑day delivery.
Administration Taking minutes at key meetings, managing expenses, preparing briefing materials ahead of important meetings, and other ad hoc projects that call for precision and follow‑through.
