Salary: £28,605 - £31,029 per annum (pro rata for part-time)

Working Hours: 22.2 hours per week

This is an exciting opportunity to join the Environment and Transport Department as a Personal Assistant supporting the Director, Assistant Directors and senior managers. If you have significant experience as a PA and have exceptional organisational skills, the ability to manage complex diaries, confidential information and competing priorities with professionalism and discretion – this role could be for you

About the Role

To provide a full confidential Personal Assistant support service to the Director and Assistant Directors including other managers when required, including managing electronic diary systems, arranging appointments/meetings/travel arrangements and collating/preparing papers for senior managers.

Attend a variety of meetings and take accurate meetings, maintaining high standards of confidentiality and to produce letters, reports, emails, minutes, spreadsheets and presentations etc.

Maintain and operate filing, bring forward, documentation collation and progress monitoring systems on behalf of the Director and Assistant Directors and other managers in line with data protection and confidentiality requirements.

To lead and co-ordinate the department's Freedom of Information Act (FOI) process, liaising with departmental and corporate colleagues as required

About You

To apply for this post, you must be able to evidence in your application how you meet the following criteria:

* Have a good standard of education to include English and Mathematics

at GCSE Grade 9-4 (or equivalent) and NVQ Level 3 in Business Administration OR be able to demonstrable experience identified within the sections below.
* Have proven significant experience providing high level PA support and answering general routine correspondence on behalf of Senior Managers with excellent IT skills, including Microsoft Word, Excel, Teams and PowerPoint.
* Be able to administer and minute meetings with fast, accurate typing and strong document production skills.
* Have knowledge of working in local government with a considerable understanding and awareness of the political environment that the post operates within including an understanding of Freedom of Information Requests and the legal requirements.
* Have a high level of interpersonal and communication skills, both written and verbal and an understanding of, and commitment to equality and diversity and inclusion.
* Have excellent organisational and planning skills with the ability to always maintain strict confidentiality.
* Have a professional, diplomatic and tactful approach with the flexibility to work under pressure dealing with changing deadlines and quantities of work.
