To assist with this growth, Furnitubes is seeking an Operations & Customer Service Administrator to join the current team. This person will be responsible for supporting the everyday operations of Furnitubes by handling administrative tasks, managing customer orders and deliveries, keeping track of inventory, and addressing customer service enquiries.
Job Description
Furnitubes' products are specified by landscape architects, architects and landscape designers, with the schemes subsequently being delivered by contractors and builders' merchants. This creates an interesting and challenging operating environment as specifications progress through to orders, production and ultimately delivery.
The Operations & Customer Service Administrator will have involvement with stakeholders at every stage throughout this process; providing costs to the sales team, placing orders with suppliers (mainly another Group company located within the same office), ensuring goods are delivered on time, and handling any customer service issues that arise pre, during or post-delivery. The appropriate individual will be an excellent administrator, very people-focused, and with an unerring commitment to detail, quality and outstanding customer service.

Responsibilities
* Answering the phone and responding to customer requests and enquiries.
* Obtaining quotes from suppliers (mainly Group companies) to provide costs to the sales team.
* Placing orders with suppliers for goods to be produced.
* Monitoring and managing the progression of goods in production and informing the General Manager and customers of any change in timescales.
* Keeping track of inventory and proposing re-orders to the General Manager.
* Actively ensuring Furnitubes' on time, in full (OTIF) targets are met.
* Addressing customer service and quality issues and proactively updating the General Manager with any issues that need to be escalated.
* Working proactively with other departments (i.e., Sales, Design, Warehouse, other Group companies, etc) to ensure the smooth running of the business.
* Maintaining appropriate systems with complete, accurate and timely data.
* Actively demonstrating Furnitubes' Core Values and ensuring these are always projected when dealing with all internal and external stakeholders.
Requirements
* Excellent communication skills, particularly written and spoken English.
* Highly organised with excellent time management, organisational and administrative skills.
* An ability to work with minimal oversight while deploying sound judgement.
* Strong analytical and problem solving skills.
* Absolute attention to detail.
* Strong proficiency in Microsoft 365 and broad experience in business systems.
* An ability to multi-task and effectively prioritise.
* 5+ years of experience in a similar role.
