Overview
Senior SIFT Finance Project Support Officer – Swansea Bay University Health Board. This is a fixed term/secondment position for 18 months due to funding. The post is located in Swansea, United Kingdom. Education requirement: GCSE. This role is open to English and/or Welsh speakers; Welsh language skills are desirable.
Responsibilities
* Provide high quality, confidential administrative support in the delivery of multiple projects including administration for the Health Board SIFT Finance Group.
* Act as the main channel of communication between the Core SIFT Finance Group and colleagues, senior colleagues, NHS organisations, and external partners including Swansea University.
* Manage own workload with delegated responsibility for certain aspects of the SIFT project; oversee delegated activities and ensure timescales are met.
* Exercise judgement in day-to-day handling, monitoring and filtering of emails, appointments and enquiries.
* Provide senior administration support to the Core SIFT faculty (diary management, data entry, report and letter writing, minute taking as needed).
* Support Education Centre Team activities and work across teams where needed.
* Plan and manage delegated aspects of projects; lead on delegated aspects as agreed with the Line Manager; assist with planning and delivery of national projects where appropriate.
* Analyse information related to SIFT, prepare reports for the Core SIFT Finance Group, identify milestones, escalate issues, and make recommendations for resolution.
* Develop and maintain communication channels (website, intranet, social media) in partnership with external stakeholders.
* Assist in writing, planning and development of meeting agendas, action logs and other documentation; produce accurate correspondence, reports and letters; proofread documents for submission.
* Manage diary entries for Core SIFT Group members; prioritise workload and resolve diary conflicts.
* Coordinate internal and external meetings, workshops and conferences, including travel and accommodation arrangements; attend meetings and transcribe minutes as needed.
* Produce well-presented materials and maintain efficient office processes using desktop technology.
* Coordinate health campaigns within the Health Board and manage related publicity.
* General clerical duties, including filing manually and electronically.
Qualifications
* Educational requirement: GCSE.
* Desirable: ability to speak Welsh (English and/or Welsh speakers welcome).
