Job Opportunity: Receptionist / Administrative Assistant
We are looking for a friendly, organised, and proactive Receptionist / Admin Assistant to join our trade services office on a full-time basis. The role will primarily be based at our office, with occasional opportunities to work from home.
About the Role
This versatile position involves being the friendly first point of contact for our clients and visitors, as well as supporting the smooth running of daily operations. You’ll need to be confident managing multiple tasks, communicating effectively, and working independently in a busy environment.

Main Responsibilities
* Answering and making phone calls, managing emails and postal mail
* Scheduling bookings through our diary system and liaising with clients and external professionals
* General administrative duties such as scanning, filing, shredding, and preparing letters, contracts, and other correspondence
* Maintaining employee holiday records and managing payroll using QuickBooks
* Preparing estimates and invoices, and keeping accurate financial records
* Ensuring company vehicles are maintained, legal, and safe
* Managing appointment schedules, ordering materials in advance and liaising with suppliers and engineers
* Organising travel and accommodation for long-distance projects
* Following up on unpaid invoices politely and professionally
* Assisting with onboarding new employees, including organising induction sessions and completing paperwork
* Working closely with Directors and supporting the wider team

Requirements
* Education: GCSE or equivalent (required)
* Experience: Customer service: 2 years (preferred)
* Language: English (required)
* Licence/Certification: Driving Licence (required)
* Ability to commute/relocate: Dalkeith EH22 1SP: reliably commute or plan to relocate before starting work (required)

* Pay: £25,000.00-£30,000.00 per year
