Location: T2 Office, Birmingham, B37 7ES. Full-time, Monday to Friday. 8-month fixed-term contract (FTC) for maternity cover. Majority of week office-based with some home working. Salary: £28,000.
Role purpose: To support the delivery of additional (billable) work within the CCS Framework contracts for the Home Office (HO) and Ministry of Justice (MOJ), covering over 200 manned and unmanned TFM sites across the UK and Europe. This involves liaising with subcontractors/operations to obtain quotes, calculating and submitting quotations within the contract SLA, and coordinating work to completion. The role supports the Operational and Commercial teams in delivering Additional Works to maximise revenue and profit on the HO and MOJ contract, coordinating small out-of-scope works, obtaining quotations via the approved supply chain, and tracking progress through the CAFM system to completion.
Responsibilities
* Daily management and progress of Work Orders through their life cycle to completion, ensuring timely delivery to meet contract SLA.
* Process all additional, recommended and out-of-scope works requiring client authorisation within contractual timeframes.
* Plan and coordinate Work Orders with supply chain, internal operations and commercial teams.
* Support incidental works and other new works programmes.
* Maintain accurate progression information on CAFM systems and ensure an audit trail of scope of works, quoted costs, POs and completion details.
* Coordinate with Operations to raise supply chain orders and administer subcontractors, including reviewing schedule of rates with supply chain partners to meet service needs and timeframes.
* Work with Contract teams to ensure reactive and new works are priced in accordance with the contract.
Knowledge, Skills & Experience
* Experience of FM operations and project delivery across the Total Facilities Management spectrum.
* Attention to detail with a methodical, organised approach to workload prioritisation to meet deadlines.
* Proficient with Microsoft Office; working knowledge of Maximo; understanding of Work In Progress (WIP) and keeping WIP to a minimum.
* Budget management and cost control experience for a high volume of small-value works.
* Experience using the NEC3 form or other IFM/small works contracts.
