The Opportunity Our Commercial Property Team is looking to recruit an experienced Executive Administrator to support our busy and growing department. The core purpose of this role is to manage departmental administration and handle the majority of non‑chargeable tasks, enabling fee earners to focus on delivering high‑quality client work. Strong IT skills are essential, as the role involves operating a Case Management System. We’re looking for someone who is highly organised, an excellent communicator, and confident working in a fast‑paced commercial environment with strong attention to detail. Key Responsibilities Effective administration of files (hard copy and SOS), including matter opening, closing, archiving, and data updates. Producing files and documentation for fee earners on request. Preparing and filing documents, copies, and scans as required. Reviewing departmental finances, including report production, liaising with clients regarding payment of fees, and managing the billing process. Ensuring file compliance with regulatory standards and internal processes. Producing and issuing correspondence on instruction from fee earners. Attending meetings and taking minutes when required. Handling incoming calls for the team, ensuring accurate and timely message‑taking. Diary management for team events, including meetings and 1:1s. Coordinating meetings for fee earners, including room bookings, car park arrangements, and preparing materials. Training new administrators when required. Liaising with other departments on operational matters (IT, equipment, etc.). Supporting general office administration, including reception duties, post, scanning, and archiving. Skills & Experience Ability to support and develop team members when required. Strong liaison skills with other service line teams. Excellent planning and organisation abilities. High attention to detail. Strong written and verbal communication skills. Desirable Experience Experience using SOS case management. Knowledge of commercial property work.
