Role Details:
Salary: £25,000
Bonus: 10% Performance Related Bonus
Reporting to: Account Manager / Operations Manager / Controller
Main Purpose of Role: The Operations Executive is central to the administrative processes within each account. We are passionate about delivering first-class support to our teams and clients, tailored to meet and exceed their needs. Our goal is operational excellence and continuous skill development aligned with client and business needs.
Key Tasks and Responsibilities:
1. Administration & Data Management
2. Daily download of retailer sales data
3. Managing master data to ensure accuracy
4. Forwarding enquiries to relevant contacts
5. Updating attendance logs and contact details
6. Reception coverage and holiday support for the team
7. Supporting field managers with bookings for meetings, accommodation, and flights
Technical Support
1. Loading relevant scripts in line with client objectives
2. Supporting software issue resolution via Service Now
3. Validating updates to Field Execution Tools
4. Communicating updates and impacts to users
Fleet Management
1. Point of contact for fleet queries
2. Maintaining driver and vehicle lists in C-track
3. Supporting hire car bookings and liaising on accidents
Call File Management
1. Managing call files and address/territory accuracy
2. Supporting changes to call files and using Geoplan
Reporting
1. Basic reporting and data visualization
2. Exporting data from 360 for analysis
Account Briefing Support
1. Producing and distributing account activity briefs
2. Preparing visual aids and training materials
Client Communication
1. First point of contact for operational queries
2. Managing client operational requirements
New Business Support
1. Supporting new projects and building client review presentations
Financial Responsibilities
1. Fuel reconciliation, expenses, and driver deductions
2. Managing credit card reconciliations and payroll deadlines
Strategic Contribution
1. Participating in strategic planning and proposing process improvements
Other Requirements
1. Minimum of 1 field visit and 1 meeting attendance per quarter
2. Adherence to company policies, health & safety, GDPR, and personal development
