Job Description: Receptionist Position: Receptionist Location: Fitzrovia Job Type: Full-Time, on-site Our client is a specialist healthcare facility providing integrative ancillary oncology services to patients. Their approach focuses on supporting those undergoing cancer treatment through a range of complementary therapies including IV therapies, photobiomodulation, Hyperbaric Oxygen Therapy (HBOT), and hyperthermia treatments. Role Overview: We are seeking a warm, professional, and organised Receptionist to be the welcoming face of our clinic. As the first point of contact for patients and visitors, you will play a vital role in creating a positive, supportive atmosphere while ensuring the smooth day-to-day operation of the clinic. You will combine genuine empathy and understanding with a bubbly, positive personality that helps create an uplifting environment for patients during challenging times. From managing enquiries to scheduling appointments and coordinating with third-party providers, your contribution will help create a seamless and nurturing experience for everyone who walks through the door. Key Responsibilities: Front Desk Management: Serve as the first point of contact, welcoming patients and visitors with warmth, professionalism, and positivity. Enquiry Handling: Respond to enquiries via phone and email, providing accurate information and escalating complex queries as needed. Appointment Scheduling: Manage the clinic's diary, schedule patient appointments, and coordinate with medical staff to ensure an efficient workflow. Daily Operations: Monitor and manage same-day schedules, addressing any adjustments or patient needs promptly. Coordination: Liaise with third-party providers to arrange blood tests, scans, and other patient services. Administrative Support: Support operations by managing patient intake processes, maintaining accurate records, handling correspondence, and assisting with other administrative duties to ensure smooth day-to-day functioning. Key Qualifications and Experience: Experience in a customer-facing role, with prior reception experience preferred. Previous experience in a healthcare setting is preferred. Proficiency in using scheduling and booking systems. Familiarity with standard office software (e.g. email platforms). Skills and Attributes: Communication: Excellent verbal and written communication skills to interact effectively with patients, staff, and external providers. Empathy and Understanding: A genuine ability to connect with patients facing health challenges, providing emotional support through compassionate interactions. Positive Personality: A bubbly, uplifting demeanour that helps create a warm and encouraging atmosphere. Organisation: Strong organisational skills, with the ability to manage multiple tasks and prioritise effectively. Professionalism: A friendly and approachable manner combined with a professional attitude. Attention to Detail: Accuracy in scheduling, managing patient information, and coordinating services. Adaptability: Ability to handle a dynamic work environment and respond calmly under pressure. Teamwork: A collaborative mindset and willingness to support colleagues as needed.
