HAIL Partners is working with a prestigious Global Private Equity Firm who are seeking an Executive Assistant & HR Operations Coordinator. This dynamic, hybrid role is ideal for a proactive and detail-oriented professional who thrives in a fast-paced, high-performance environment. You will play a critical role in supporting senior executives while contributing to the firm's HR operations, gaining exposure to both business operations and people strategy.


Responsibilities

Executive Assistant Support

* Provide high-level, confidential administrative support to senior executives
* Manage complex calendars, prioritising and coordinating meetings, appointments, and events.
* Prepare and organise materials for key meetings, including management and risk committees.
* Arrange international and domestic travel.
* Support the planning and execution of internal events and employee engagement initiatives.


HR Operations

* Collaborate closely with the Head of HR to provide operational support across the employee lifecycle.
* Manage onboarding processes, including contracts, right-to-work checks, system setup, and inductions.
* Coordinate recruitment activities, such as CV screening, agency liaison, interview scheduling, and candidate management.
* Support intern and graduate hiring programmes, including inbox management, assessments, and candidate communications.
* Conduct first-stage interviews and assist in hiring decisions as needed.
* Oversee background checks for new hires and ensure compliance with regulatory requirements.
* Assist with annual compensation and bonus processes, including documentation and coordination.
* Manage offboarding processes, including exit interviews and leaver administration.
* Maintain accurate HR records and ensure compliance with best practices and legal standards.


Requirements:

* Proven experience as an Assistant, and ideally HR support.
* Understanding of HR processes across the employee lifecycle.
* Exceptional organisational skills with meticulous attention to detail.
* Ability to manage multiple priorities and deadlines in a fast-paced environment.
* Excellent communication and interpersonal skills, with the ability to build relationships at all levels.
* Professional, discreet, and capable of handling sensitive information with confidentiality.
