This position supports the smooth running of daily office operations by managing reception duties, coordinating visitor access, assisting with meeting room setups, monitoring health & safety compliance, and liaising with vendors and internal teams. With a strong focus on customer service, organization, and workplace efficiency, the role plays a key part in ensuring a safe, well-managed, and positive workplace experience. As the Reception & Facilities Administrator, you will: Provide a warm welcome to all visitors and ensure smooth sign-in/out processes. Manage incoming calls, emails, and queries, directing them to the appropriate person or department. Maintain the reception area, ensuring it is tidy, presentable, and stocked with necessary materials. Coordinate meeting room bookings and set up refreshments as required. Report and escalate any building or equipment issues promptly ​ Oversee office supplies, equipment maintenance, and inventory tracking. Liaise with vendors and service providers, such as cleaning contractors and building maintenance teams. Ensure compliance with fire safety, first aid, and other legal requirements. Maintain accurate health & safety records, including training logs, risk assessments, and compliance audits. Schedule and coordinate Fire and First Aid Assessments Provide administrative assistance to the facilities manager as required QUALIFICATIONS AND EXPERIENCE ​ | ​ The ideal Reception & Facilities Administrator : Exceptional communication and interpersonal skills. Strong organizational and multitasking abilities. Attention to detail and a proactive approach to problem-solving. Knowledge of health & safety regulations and best practices (training will be provided). Fire and First Aid Trained is desirable, but not essential as can be trained Proficient in Microsoft Office and other relevant software. Prior experience in a similar reception or administrative role. Familiarity with facilities management and health & safety processes is desirable. A professional, friendly demeanour and excellent customer service skills.
