Role: Project Coordinator
This role is based in our Mallusk office and supports HVAC Capital Works projects in Northern Ireland. The Project Coordinator will be responsible for coordinating site construction projects, managing schedules, handling communications, and supporting administrative tasks to ensure projects are completed effectively and on time.
Key Responsibilities
1. Coordinate site construction projects for effective and timely completion.
2. Manage scheduling of engineer diaries to ensure adequate coverage.
3. Handle incoming calls and record/manage communications efficiently.
4. Support clients via telephone and email.
5. Log and assign response maintenance calls promptly.
6. Process operatives' paperwork and close calls for payment.
7. Respond within agreed timeframes to meet service levels and contract terms.
8. Meet targeted KPIs related to contract requirements.
9. Support cross-training within the team for flexibility and contingency planning.
10. Perform routine administrative tasks.
11. Liaise with stakeholders and clients, escalating issues early.
12. Complete additional duties as requested by management.
13. Ensure compliance with policies, procedures, and safety standards.
14. Assist with applications and certificates from authorities/clients.
15. Schedule daily runs for multiple operatives and organize materials, dealing with suppliers and subcontractors.
16. Maintain professionalism and confidentiality at all times.
17. Calculate engineer performance and bonuses.
Person Specification
* At least 1 year of experience in an office environment.
* Minimum of 5 GCSEs, including English and Maths.
* Proficient in Microsoft Office.
* Proactive, able to work independently with limited supervision.
* Strong customer focus and professionalism.
* Excellent organizational and communication skills.
* Ability to work collaboratively and develop good relationships.
* Flexible, adaptable, and positive attitude.
* Trustworthy and approachable, leading by example.
* Ability to multitask and handle high call volumes.
