Full Time Logistics Office Manager (Customer Service & Team Supervision Focus)
We have an exciting opportunity for a Logistics Office Manager to join our team at our Cumbernauld Depot.
The Logistics Office Manager is responsible for leading the office-based logistics team at our Cumbernauld depot, ensuring that all administrative tasks are completed accurately and on time, and that customer communications are handled professionally and proactively. This role plays a key part in supporting the Depot Manager with logistics operations by coordinating documentation, managing internal workflows, and maintaining high standards of customer service. This role will also be the QHSE focal point for the Cumbernauld depot.
Key tasks and responsibilities include:
Team Supervision & Task Management:
* Lead and supervise office-based logistics staff, including coordinators and administrators
* Allocate daily tasks, monitor progress, and ensure timely completion of logistics documentation and administrative duties.
* Conduct regular check-ins and performance reviews to maintain accountability and efficiency.
* Foster a collaborative and accountable work environment focused on operational efficiency and service delivery.
Customer Communication & Service Delivery:
* Ensure all customer inquiries related to collections/deliveries, documentation, and delivery timelines are responded to promptly and professionally.
* Oversee the quality and consistency of customer communications across the team.
* Resolve escalated customer issues and implement service improvements based on feedback.
Logistics Coordination & Documentation:
* Oversee the preparation, accuracy, and timely submission of logistics documentation (e.g., trailer manifests, delivery paperwork, proof of deliveries).
* Ensure timely data entry and updates in transport systems
* Liaise with transport providers, warehouse teams, and suppliers to support smooth logistics operations.
QHSE Focal Point Responsibilities:
* Maintain and update QHSE documentation, including risk assessments, incident reports, audits, and training records.
* Ensure weekly QHSE inspections are completed and accurately recorded in the QHSE system.
* Monitor and report QHSE metrics such as near misses, safety observations, and corrective actions, ensuring all actions are followed up and closed off, escalating where necessary.
Compliance & Reporting:
* Ensure office operations comply with company policies and regulatory requirements and QHSE standards.
* Maintain organised records for audits and reporting purposes.
* Support internal and external audits with accurate documentation and process transparency.
Process Improvement & Systems Management:
* Identify inefficiencies in office workflows and implement process improvements.
* Support the adoption and effective use of transport software and communication tools.
* Promote a culture of continuous improvement and customer focus within the team.

Qualifications:
* Experience in logistics office operations, team supervision, and customer service.
* Strong understanding of logistics documentation and workflows.
* Excellent leadership, communication, and problem-solving skills.
* Proficiency in transport management software, ERP systems, and Microsoft Office Suite.
Experience:
* 3–5 years of experience in logistics or supply chain office management, with team leadership responsibilities.
