Job Title: Veterinary Client Support Team (VCST) – Part-time
Reports to: Team Leader and Operations Manager
Contract type: Permanent – part-time
Hours of work: Between 24-28 hours per week plus 1 in 5 Saturday rota
Days to be worked each week:
* Monday, Thursday, and Friday – 8 hours per day. Available to start at 8:30 am each day
* Latest finish time is 6:00 pm (on a rota basis for late cover), Saturday morning (1 in 5), 8:30am – 12:00 pm (3.5 hours)
Main Purpose of Job
To be the first point of contact and respond to client requests and queries in a professional and efficient manner to always provide excellent customer service. Use practice management software and company protocols to record necessary information and instigate appropriate action as required.
Main Duties and Responsibilities
1. Provide efficient and professional first point of contact on the telephone for our clients.
2. Accurate message taking, recording with clear information or instructions that follow organisation protocols.
3. Effective booking, coordinating and prioritising of Vet appointments and their visits on ‘Robovet’ diary in a timely and cost-effective manner.
4. Taking routine and emergency appointment bookings and dealing with queries efficiently and professionally in a timely way. Be proactive in meeting client needs to a high standard.
5. Accurate booking out and dispensing of veterinary medicines and supplies in line with dispensing protocols.
6. Maintain an excellent knowledge of the company’s services and products and provide clients with the correct information regarding these.
7. Promote the image of Torch Farm & Equine both positively and professionally to clients, colleagues and the public.
8. Ensure that all reception areas are kept clinically clean and tidy.
9. Accurate registering of new clients and their animals.
10. Take payments and allocate correctly to client accounts.
11. Work supportively with other teams/departments for the good of the business.
Knowledge, Skills and Experience Required
* A good understanding through personal experience of farm terminology
* Equine knowledge including basic horse anatomy
* Excellent organisational skills including experience of diary management for others
* Good listening skills and the ability to summarise information received in a concise manner for others
* Experience in working with the public in a customer service environment
* IT skills – experience using email, Word, Excel and a willingness to learn how to use internal software
* A calm and confident manner
* An ability to work as part of a team and to work alone
Desirable skills
* An interest in the welfare of animals
* Hands on farm management and equine experience
* A desire to succeed
* Health and safety awareness
* 5 GCSE’s including Maths and English grade C or level 4
* Good knowledge of local geographic area
