Overview
We are seeking a proactive and organised freelance Festival Administrator to join our team for the 2026 festival.
This freelance role offers a fantastic opportunity for someone at the start of their career in arts administration or festival production who is keen to gain hands-on experience across all areas of festival delivery.
Working flexibly from November 2025 to April 2026, the Festival Administrator will support the smooth running of the festival, with a focus on our Open Access Programme and venue liaison. You’ll play a key part in communicating with artists and venues, maintaining festival systems, and ensuring a great experience for performers and audiences.
Key Responsibilities
* Manage festival registrations via Eventotron (our event management system).
* Provide artist liaison and support during registration and in the lead-up to the festival.
* Liaise with festival venues during planning and delivery stages.
* Support the Festival Producer with administrative tasks, particularly for the curated programme.
* Assist the Marketing, Press and Social Media teams as required.
* Support festival-time delivery, including venue visits, troubleshooting, and artist support.
* Contribute to improving festival systems and communications.
Person Specification
Essential
* Strong organisational and administrative skills.
* Strong knowledge and experience of Microsoft Office Suite and Google Workspace.
* Excellent written and verbal communication.
* Ability to manage multiple priorities and deadlines.
* Proactive, self-motivated and adaptable.
* Collaborative, friendly and flexible team player.
* Commitment to GICF’s values: inclusivity, accessibility, sustainability and celebrating Glasgow’s communities.
Desirable
* Experience in events or arts administration.
* Familiarity with event management systems or databases.
* Experience working in a festival or live events environment.
* Knowledge of Glasgow’s venues and comedy scene.
Fee and Working Pattern
This is a freelance role for 25 weeks (November 2025 – April 2026), averaging 30 hours per week (variable).
The total project fee is £9,450, payable in instalments.
Evening and weekend work will be required during the festival period, with flexibility expected and offered in return.
