Job Title

Process and Operations Administrator


Location

Blended working at Kemp House, Chawley Business Park, Cumnor Hill, OX2 9PH, and working from home


Reporting To

Team Leader


Job Summary

To deliver excellent process and administrative support to the Operations team as part of our high-quality service to customers


Key Responsibilities

1. Complete daily processing tasks with high quality and efficiency.
2. Produce reports on operational activity, SLAs, and quality standards using Excel or our CRM system.
3. Gather and analyze data on operational areas including customer feedback.
4. Respond to customer email requests for information, passwords, login details, etc.
5. Answer inbound calls from supplier customers.
6. Perform general administrative duties, including outbound mail merges and issuing physical letters.
7. Assist with operational activities such as data cleansing.
8. Adopt principles of continuous process improvement and best practices.
9. Understand the requirements within the Operations team and manage expectations.
10. Respond quickly to changing priorities within the team.
11. Escalate issues to the Team Leader to ensure timely delivery of work.


Key Requirements


Qualifications and Skills

1. High accuracy and attention to detail
2. Strong organizational skills
3. Intermediate proficiency in Excel
4. Good knowledge of other MS Office applications
5. Ability to work quickly and systematically
6. Focus and ability to multitask and prioritize
7. Articulate with a confident telephone manner
8. Strong communication and interpersonal skills
9. Flexible and proactive


Knowledge and Experience

1. Experience in operational support, ideally in a data and process-oriented environment
2. Experience working in a high-quality environment with relevant standards and accreditations
3. Experience working independently and with initiative
4. Experience of process improvement
5. Ability to adapt to a growing business
6. Awareness of and compliance with information security standards
7. Customer service experience is desirable


Further Information

The Operations team delivers our core business with high quality and customer service. To meet KPIs, we require an experienced administrator to handle preparatory and standard tasks crucial to our service. The postholder should have administrative experience, be computer literate, and willing to learn new systems. Training will be provided.

The company's blended working policy requires two days in the office and three days from home, subject to review.
