We are seeking a highly organised and proactive individual to join our Simulation and Clinical Skills team at UHSussex. This vital role provides administrative and logistical support to ensure the effective delivery of clinical training programmes, with a particular focus on activities at the SRH site.
As Simulation Administrator, you will play a key role in supporting the training of clinical staff in essential skills and procedures that underpin safe and effective patient care. You will also contribute to the appraisal process by helping to provide accurate training records and evidence for clinical staff.
Your responsibilities will include:
Coordinating and planning scheduled simulation activities, such as the Foundation Programme.
Support the logistics for delivery of bespoke simulation sessions in response to patient safety incidents or to test new areas of operation
Managing room bookings, equipment setup, and communication with faculty and participants.
Maintaining accurate records of training attendance and outcomes to support staff development and appraisal.
This role is essential to maximising the use of our simulation facilities—especially at SRH—and ensuring our workforce is equipped with the skills needed to deliver high-quality, safe care.
Main duties of the job
• Provide a comprehensive, confidential administrative support to the Simulation and Clinical Skills Team.
• The role will include ensuring excellent communication and co-ordination with a range of organisations and individuals and official bodies (both local and national), researching and drafting programmes and correspondence and ensuring project management of specific tasks including organising educational events, ie. study days, clinical courses, simulation programmes, etc.
• Accurate recording and minuting skills for incoming requests by e-mail or telephone in addition to safe transfer and hand-over of complex, and sometimes sensitive, information will be required. The ability to collect relevant information and deal with difficult callers, potentially including members of the media, will be needed.
• Ability to use, or willingness to learn, Microsoft Teams and SharePoint for effective communication, document management, and collaboration.
• Provide diary management for the Team, including arranging meetings, booking appointments on request or based on precedent/previous activity patterns, giving apologies where appropriate and delegating duties appropriately when absent.

• Daily administrative duties include ordering, receipting, minute taking, agenda preparation, typing, compiling reports, filing, photocopying, taking registers, summarising evaluations, etc. and working at a computer for long periods (more or less continuously through the working day). Moderate levels of physical effort is required at times (predominantly room setup which often involves manual handling as part of the wider team i.e. deploying simulation equipment/manikins)
• Respond to frequent enquiries from stakeholders, professionals and, less frequently, the general public, including using written, verbal and face-to-face communication. Using empathy, tact, sensitivity and judgement to deal with all queries in a professional, confidential and sensitive manner, especially where there are barriers to understanding.
• Use initiative to prioritise own workload, exercising discretion as to the degree of urgency, importance and confidentiality required. Required to work independently, although work is supervised and successful applicants will be expected to ask for help/escalate when unsure/needing support.
• To answer any general queries from the team and direct them to alternative information sources if appropriate. To offer guidance and support to managers and staff where appropriate.
• Play a key team role in ensuring projects are delivered. When requested take on work for small projects.
• Provide support for team members responsible for organising meetings and conferences. Role to include creating, updating and storing relevant documents and records, supplying relevant information and documentation to attendees, liaising with venue staff where appropriate in advance of conferences, respond to changing situational requirements, prioritise and respond within competency, play a key role during conferences and collate, analyse and store follow-up information/assessment.
