· Contact all players on the assessment lists for September and let them know the dates, venue, and times for assessments. Remember to add directions to the pitch for those new to the Uni. All players should be added to Teamo from when they were invited to the assessment group. Assign assessment payments to players via Teamo and check they are paid.
· Add assessment dates to Teamo and assign them to the assessment teams
· Add all training and match dates to Teamo and assign them to the TA Squad teams, which should be empty until after assessments.
· Add TA training and match dates to PDSPro and ClubBuzz
· Add the coaches to the assessment and squad teams, ensure they have the relevant DBS/Safeguarding/Coaching qualifications, and add to the coach's qualifications file.
· If needed, book pitches with the university
· Assessments – check with coaches how they want to identify players; previously, they have had printed numbers on sticks.
· After Assessments in conjunction with coaches, send out acceptance letters and no letters to players. All previous correspondence is in the TA folder.
· Once squads are finalised, add players to the TA squad teams on Teamo, PDSPro, and ClubBuzz.
· Kit: Make sure players new to the TA know how to get shirts. Club members can use their existing TBB shirts and get the TA logo added, and new members will be assigned a number when they order. They need TBB Shirt, TBB Skort, TBB Socks.
· Assign TA membership payments to players via Teamo and check that they are paid.
· Set Nomination Assessment Dates from Nov to May for players nominated for the following cycle. Once set, send out information detailing the process to Club/County/Schools contacts. When asked to give dates to EH. (Previously run in conjunction with Spotter HP camp dates)
· Checklists from EH for players nominated to assessments, communicate with players times/venues, etc., if using Spotters, will need to book onto the Spotters session independently.
· After open assessment sessions, communicate to players if they are being brought forward for further assessments in the TA training session or if they should go back to club/county/school hockey to work on the feedback they were given by coaches at the session.
· Book those being invited to TA session on a couple of sessions and then give afterwards either confirm they have a place in the September Assessments for the following cycle or give feedback from coaches to take away to club/county/school hockey.
· Hold a list of players invited to the following September Assessments
· Check members' accounts on Teamo to ensure the second membership payment is paid.
· Ensure all the TA coaches/managers attending the TA Festival in July have the correct DBS/Safeguarding qualifications per EH guidance.
· After the assessment nominations have closed on the EH website, ensure all players who have been nominated have had a chance to be assessed.
· Confirm squads for the TA festival and coaches/managers
Ongoing throughout the season
· Forward any correspondence from EH to players/coaches
· Check that membership and match payments have been paid on Teamo, and chase any outstanding
· Assist TA lead/coaches with any admin
· Keep ClubBuzz up to date with players/home matches/home venues/home times/team sheets for all matches and results
· Keep PDSPro up to date with training and matches and players
· Keep Teamo up to date with training, matches, and players. Assigning match fees and membership fees as appropriate.
· Correspond with squads and coaches as and when necessary
· Do all social media (Instagram, Twitter, Facebook, Threads) posts
· Currently, the admin assists the TA lead with sending coaches invoices for payment, keeping records of income and expenditure, authorising pitch invoices from Uni, etc.
· Keep checking the open assessment lists from EH for players for the set dates and let the coaches know the players and their details from EH before each session and then give outcomes after sessions.
· Keep inviting players identified at the open assessment sessions for a further assessment at a TA session and give feedback and outcomes after the session.
