Working Pattern - Hybrid – 2 days per week in the Vitality Stockport or Bournemouth Office. Full time 12 month FTC, 35 hours per week.

What this role is all about:
We’re looking for an exceptional and experienced Personal Assistant who thrives in a fast-paced environment and loves making things happen. In this role, you’ll be the backbone of seamless operations, supporting the Chief People Officer and the People Senior Leadership Team with precision and professionalism. You’ll manage complex diaries, prioritise schedules, prepare agendas, arrange travel, and coordinate events, all while maintaining a calm and proactive approach. You’ll take clear, actionable meeting notes, handle confidential information with discretion, and maintain accurate financial and administrative records. Collaboration is key, and you’ll work closely with other PAs to streamline processes, share ideas, and ensure an aligned approach across the business. You’ll represent the company confidently with internal and external stakeholders and support ad-hoc projects with enthusiasm and initiative. We’re especially interested in candidates who have a keen interest in using AI to enhance their role. Whether that’s automating tasks, improving workflows, or exploring new tools to boost productivity and may have already started experimenting with AI in their work. Key Actions
4. Provide proactive diary and time management, prioritising key deliverables and deadlines.
5. Arrange travel, accommodation, and logistics in a cost-effective way.
6. Prepare and share agendas, documentation, and ensure smooth coordination of meetings and events.
7. Support managers and teams with ad-hoc tasks, events, and projects.
8. Manage emails and correspondence, responding or delegating where appropriate.
9. Collaborate with other PAs to share best practice and align processes.
10. Capture clear, action-focused meeting notes and track completion of actions across the business.
11. Maintain accurate records for invoicing, expenses, and financial controls.
12. Act as cover for other PAs when required.
13. Handle confidential and business-critical information with discretion.
14. Ensure compliance with Vitality’s Code of Conduct and regulatory requirements.
15. Represent Vitality professionally with internal and external stakeholders.
What do you need to thrive?
16. Proficient in Word, Excel, PowerPoint, and Outlook.
17. Extensive PA/secretarial experience.
18. Skilled in minute-taking at senior-level meetings.
19. Experienced in managing dynamic, high-volume diaries.
20. Strong written and verbal communication.
21. Works well under pressure with minimal supervision.
22. Flexible and adaptable approach.
23. Excellent organisational and admin skills.
