Overview
Meeting & Events Coordinator role at JLL. We are a professional services and investment management firm specializing in real estate. This position is part of the Integrated Meeting & Events team and reports to the Assistant Program Manager.
Role Purpose
The Meeting & Events Coordinator will coordinate meeting and events across a campus or region, working as part of the Meeting & Events team.
What this job involves
* Lead and support onsite meeting and events teams
* Ensure the Meeting&Events Portal is up to date
* Coordinate event setups with meeting and events teams
* Coordinate meeting and event requests with teams to ensure timely completion
* Coordinate local employee experience activations and events
* Coordinate out-of-hours meeting and events efficiently
* Ensure general condition of meeting rooms meets agreed standards
* Ensure service excellence across campus or region
* Coordinate service support such as Technicians, Janitorial and Security Teams
* Coordinate Logistics Team to ensure rooms are correctly configured
* Implement new processes and standards across sites in conjunction with Program Manager
* Provide operational oversight of campus or region and align with global or regional practices
* Act as point of escalation for issues and report to Program Manager as required
* Ensure compliance with EHS requirements and standards for all activities
* Share relevant feedback with Line Manager and Program Manager
* Manage meeting room furniture and equipment and make improvement recommendations
* Set up and maintain relationships with local external catering providers
* Coordinate with Amazon Global Events and Meetings (GEMS) when onsite meetings cannot be accommodated
* Other tasks and duties as required
Key Requirements / Qualifications
* Experience in a high-profile corporate environment
* Hospitality & event management experience is desirable
* Facilities Management exposure beneficial
* Fluency in English and local language
* Proficient knowledge of Microsoft Office
* Very high attention to detail
* Outstanding customer service and communication skills, both written and verbal
* Professional demeanor and ability to be an ambassador for the team
* Strong teamwork and willingness to go above and beyond
