Position Summary
Ponticelli UK Ltd are looking for an enthusiastic commercial administrator to join our team. They will be responsible for administering the delivery of comprehensive tenders in response to client enquiries and Invitations to Tender, ensuring instructions are followed, and proposals are submitted on time, while supporting business development through administrative coordination. This role will provide opportunity to develop within the Tendering and Business Development functions.
Key Deliverables:
* Co-ordinate tendering efforts by gathering commercial, technical, contractual, and administrative input, including from third-party suppliers.
* Maintain proposal bid tracking systems and activity trackers for accurate reporting and live progress updates.
* Act as custodian for tender processes, including bid logging, requirement reviews, kick-off meetings, task assignments, clarifications, reviews, and approvals.
* Assist in ensuring submissions use compelling, industry-standard narratives to support award recommendations.
* Assist with maintenance and update CRM system with accurate opportunity, contact, and client interaction data.
* Assist in maintenance of tender and proposal libraries ensuring content is relevant, current, and appropriately structured.
* Assist with lead generation by reviewing platforms such as Pathfinder, EIC, NOF, Energy Voice, OGV, LinkedIn.
* Coordinate planning and logistics for events, client meetings, exhibitions, and conferences.
* Collaborate with marketing/communications teams to ensure business development collateral is current.
* Provide timely and accurate administrative support to enable efficient operation of the Business Development team.
Profile Wanted
Qualifications and Work Experience:
Essential: Strong organisational, multitasking, and time management skills with the ability to work effectively under pressure and meet tight deadlines.
Essential: Proficiency with Microsoft Office Suite ensuring accurate data entry and reporting.
Desirable: Experience in administrative or coordinator roles, ideally within business development, sales, or commercial environments.
Desirable: Previous experience in energy, engineering, industrial services, or related sectors.
Job Specific Knowledge:
Desirable: Awareness of tendering and/or business development processes alongside client / supplier communication.
Desirable: Awareness of commercial opportunity trends and ability to identify viable business leads.
Desirable: Understanding of cross-departmental coordination and stakeholder engagement in commercial bid processes.
Skills:
Essential: Excellent communication and interpersonal skills, capable of liaising confidently with internal teams and external clients.
Essential: Strong planning and organisational skills, with the ability to prioritise conflicting tasks efficiently.
Essential: High attention to detail and commitment to producing quality, error-free documentation.
Essential: Maintains confidentiality and professionalism in all interactions.
Desirable: Ability to challenge existing processes constructively and suggest improvements.
