Your Role: Workspace Experience Coordinator

The Regional Workspace Experience Coordinator plays a key role in ensuring the smooth operation of our regional office spaces. Acting as the first point of contact for all premises and workspace-related queries, this role is responsible for coordinating service requests, managing supplier and contractor interactions, and running the front-of-house operations.

Key Responsibilities

* Workspace & Facilities Oversight (45%):Act as the first point of contact for all premises and workspace related queries, responding via multiple channels and resolving issues in line with SLAs and KPIs. Oversee front-of-house operations, meeting room standards, post handling, and contractor and vendor coordination to ensure smooth day to day operations across regional sites.
* Stakeholder, Vendor & Event Coordination(35%):Build strong working relationships with internal teams and external suppliers. Support service delivery by addressing feedback, assisting with contractor / supplier call outs, and helping coordinate logistics for key on-site events. Welcome visitors, ensure NDA processes are followed, and help organise workspace logistics for internal events from planning to completion.
* Team Support & Communication (20%):Support the Workspace Operations Manager & Workspace Experience Manager with ad hoc requests and provide operational cover as required. Keep the team updated on key information, changes, and contribute to maintaining clear support documentation and service excellence through timely communication.

What Success Looks Like

In your first few months, you’ll have:

* Become a trusted first point of contactby confidently responding to workspace and front of house requests across multiple channels, always providing clear and friendly support.
* Build strong working relationshipswith your regional team, key stakeholders, and external suppliers, knowing who to contact, and how to follow things through to completion.
* Support smooth daily operationsby staying on top of tasks like meeting room checks, visitor sign-ins, post handling, event tracking and stationary ordering helping the office feel welcoming, organised, and professional.
* Show curiosity and initiativeby learning how things work behind the scenes, picking up new systems and processes quickly, and suggesting small improvements where necessary.

What You’ll Need

* Strong communication skills:You’re clear, professional, and confident across all communication channels, face-to-face, email, phone, and Microsoft Teams.
* Great organisation and attention to detail:You can juggle multiple tasks, keep things running smoothly, and spot when something’s not quite right.
* Adaptability:You’re comfortable in a fast paced setting where no two days are the same and can adjust to last minute changes with ease.
* Microsoft package and Computer skills:You’re confident using Microsoft Office and can quickly pick up internal systems like ServiceNow and visitor management platforms.
