A Vacancy at University Hospitals Coventry and Warwickshire NHS Trust.

An exciting opportunity has arisen for a Senior Recruitment Officer - Medical Workforce to join the newly established Medical Workforce team based at UHCW, providing an efficient, comprehensive and timely medical recruitment service. These are key roles in providing a varied and general administrative support to the wider Medical Workforce team.

Flexible working options are available such as compressed hours and remote working; however, given the role sits within a healthcare setting, the successful candidate will need to be on-site for a minimum of 4 days per week to enable cover across the team.


Responsibilities

* Creating adverts and organising interview schedules for medical interviews.
* Undertaking pre‑employment clearance checks for all non‑training grade medics, including completing offers and contracts of employment.
* Maintaining accurate filing systems, inputting and updating data to the relevant recruitment systems, and organising recruitment activity.
* Managing all recruitment activities for all training and non‑training grade medical staff within the Trust, including advertising vacancies, planning personal files and onboarding new employees.
* Working collaboratively with hiring managers across the Trust to support the medical recruitment process, providing advice and support throughout each area and ensuring training is provided to hiring managers.
* Liaising with Senior Clinicians, HR People Partners and Group Managers to lead on recruitment initiatives and ensuring all recruitment checks are undertaken in line with NHS employment check standards.
* Providing information to recruiting specialities on a range of Medical Workforce issues, ensuring Trust policies and standards, and national terms and conditions of employment for doctors are adhered to. (This may relate to terms and conditions of employment for doctors, recruitment and selection of all medical staff, workforce and vacancy information.)
* Providing information to managers and medical staff on pay and terms of conditions of employment and on Trust policies related to medical workforce.
* Dealing with a range of employee relation queries in accordance with Trust HR policies and terms and conditions of employment for medical staff; investigating and resolving queries received from recruiting managers and applicants, ensuring action to prevent reoccurrence, and escalating to Medical Workforce Team Leader and/or Manager when required.
* Generating reports on medical workforce information.
* Completing forms for new starters, leavers or contractual changes for medical staff.
* Ensuring personal files are updated for audit purposes; making monthly checks to ensure all visas, GMC registrations and DBSs have been renewed where applicable.
* Completing compliance checks for new starters in relation to passports, visas, occupational health clearances, DBS clearance and references in line with NHS Employers standards; ensuring all paperwork and evidence of documents are received in a timely manner; ensuring all new starters are checked against the alert database and the GMC register.
* Completing monthly checks to investigate whether doctors on fixed‑term contracts require an extension of contract or a termination form; completing all ESR forms by the 6th of each month to prevent pay errors.
* Providing cross‑cover within the Medical Workforce Team during times of absence to ensure the effective delivery of service.
* Providing day‑to‑day supervision for Medical Workforce Officers, including monitoring and checking completion of appropriate recruitment administration work.
* Undertaking advertising of all medical roles across each specialty by utilising social media and other relevant job boards; liaising with Communications team where appropriate to ensure wide coverage of vacancies and promotion.


Qualifications

You will need to have excellent customer service skills, good working knowledge of Word and Excel, and be able to work in a busy environment with ever‑changing priorities and deadlines. Previous experience in a recruitment role would be desirable but not essential, as full training will be provided to the successful candidate.
