Abingdon & Witney College is seeking a motivated, detail-oriented Exams Officer to play a vital role in delivering a smooth, secure, and student-focused exams service at our Witney campus. Working closely with the Exams Manager, you’ll help refine efficient processes, support staff and students, and make a meaningful impact on the exams experience across both the Witney and Common Leys campuses.
Key Responsibilities:
* Taking the lead on secure storage, distribution and return of exam papers at the Witney campus.
* Organising and supporting the smooth running of exam sessions, including room setups and coordinating/training invigilators at Witney and Common Leys.
* Being the go-to contact for students and staff with exam queries.
* Ensuring JCQ regulations are followed at all times and reporting incidents quickly and accurately.
* Preparing for JCQ inspections and leading on inspection activities at the Witney campus.
* Communicating clearly with students and staff about exam arrangements and updates.
* Handling enquiries via email, phone and in person, always delivering excellent customer service.
* Supporting and training Exams Lead Administrators at Witney.
* Helping develop Common Leys as an exams centre alongside the Exams Manager.
* Maintaining accurate records in MIS and exam systems such as EBS and awarding body portals.
* Keeping up to date with regulatory changes and implementing updates to processes.
* Working with Learning Support/SEND teams to ensure access arrangements are delivered correctly.
* Supporting contingency planning during disruptions such as IT failures, late arrivals or severe weather.
* Maintaining confidentiality and following GDPR and College data protection policies at all times.
Essential criteria:
* Experience in administrative roles within an exams department.
* Strong organisational skills, excellent attention to detail and the ability to work accurately under pressure.
* Excellent communication, customer service and interpersonal skills.
* Experience using EBS, Exams Manager and helpdesk systems.
* A proactive, solutions-focused approach and confidence working independently.
* Level 3 qualification (or equivalent) with strong literacy, numeracy and IT skills.
* Evidence of effective teamwork and a professional approach to workplace environments.
* Knowledge of JCQ regulations and awarding body processes.
