Be part of our Contract Support team as a Contract Coordinator and play a key role in ensuring the delivery of successful customer service for our clients. We’re seeking a highly motivated individual who can prioritise workload and meet tight deadlines with ease. Covering all aspects of administration and being primary point of contact, you’ll help with efficiently handling operational reactive works with engineers and updating our clients. * Maintain seamless communication with clients and sites to ensure smooth operation.
* Answer phone calls in a professional manner and handle any queries/ issues with ease.
* Streamline operations by efficiently processing all jobs on our maintenance system and updating them with notes and ETAs.
* Coordinate with sub-contractors to obtain updates and keep everything on track.
* Keep client maintenance systems updated with crucial information and progress of their work order
* Schedule planned works with supervisors and managers, ensuring everything runs smoothly.
* Produce purchase orders, chase invoices and timely completion of maintenance work.
* Strong understanding of customer service principles and practices.
* Allocate tasks to engineers.
* Stay on top of ordering parts and equipment to ensure seamless maintenance.
* Ensure service level agreements are not breached and proactively progress work orders for maximum efficiency.
* Proficiency in Microsoft Office applications, particularly outlook, to streamline work processes.
* Experience in delivering customer service or background in the hospitality industry or property maintenance processes, will be an added advantage.
* Exceptional verbal and written communication skills to effectively communicate with clients and team members.
* Demonstrated ability to work under pressure, managing ever-changing workloads with ease and flexibility.
