Job Role: Project Coordinator
The Project Coordinator is a vital team member responsible for multitasking and prioritizing workload in a busy environment. Based in our Mallusk office, this role supports HVAC Capital Works projects across Northern Ireland.
Key Responsibilities
1. Coordinate site construction projects to ensure effective and timely completion.
2. Manage scheduling of engineer diaries for adequate project coverage.
3. Handle incoming calls and record/manage communications efficiently.
4. Support clients via telephone and email.
5. Log and assign response maintenance calls promptly.
6. Process operative paperwork and close calls for payment.
7. Respond within agreed timeframes and service levels to meet work order requirements.
8. Meet targeted KPIs related to contract obligations.
9. Assist in cross-training team members for contract coverage.
10. Perform routine administrative tasks.
11. Liaise with key stakeholders and clients.
12. Escalate issues promptly to line managers or clients.
13. Undertake additional duties as assigned by management.
14. Ensure compliance with policies and procedures.
15. Assist with applications and certificates from authorities/clients.
16. Work safely and diligently, adhering to health and safety policies.
17. Schedule daily runs for multiple operatives.
18. Organize materials, coordinate with suppliers and subcontractors.
19. Maintain professionalism and confidentiality at all times.
20. Calculate engineer performance metrics and bonuses.
Person Specification
* Minimum 1 year experience in an office environment.
* At least 5 GCSEs, including English and Maths.
* Proficient in Microsoft Office Suite.
* Proactive with the ability to work independently.
* Strong customer focus and professionalism.
* Excellent organizational and communication skills.
* Ability to work collaboratively and develop relationships.
* Flexible, adaptable, and positive attitude.
* Trustworthy and approachable.
* Leadership qualities with a 'can-do' attitude.
