Work Hours

Monday to Friday – 8:00 am to 4:30 pm (40 hours per week).

Note: there is no parking on site, but car parks are available within walking distance.

Main Responsibilities

* Management of the internal clinics: booking appointments, liaising with clinicians to schedule clinic dates.
* Booking of external hospital appointments for patients referred to secondary care.
* Requesting medical information from patients’ community GPs and ensuring receipt within a specific time frame to continue care.
* Providing medical records following GDPR requirements.
* General administrative duties (scanning, posting, photocopying, filing, creating letters, etc.).
* Receiving and appropriately coding safeguarding information/requests – training provided.
* Actioning and recording requests appropriately with deadlines recorded.
* Monitoring of phone lines and answering any queries.
* Coordinating multidisciplinary team (MDT) meetings; managing diaries, ensuring invitations are sent, tracking responses.
* Taking minutes at MDTs.
* Ordering and maintaining equipment and supplies.
* Collating basic information in response to requests.


Ideal Candidate

* Excellent numeracy and literacy skills.
* Competent IT skills, including Word, Outlook and Excel.
* Previous general office experience.
* Experience working with confidential and sensitive information and data.
* Excellent communication and interpersonal skills.
* Good organisational skills and accuracy/attention to detail.
* Ability to prioritise your own workload and manage time effectively.
* Ability to work on your own initiative and build and develop relationships.
* Excellent telephone manner.

While not essential, it is desirable to have experience working within healthcare and experience using SystemOne.
