Building Supervisor (with supervision)
Reports To
School Principal
Job Purpose
Provide on‑site supervision, cleaning and non‑cleaning services under the direction of the designated line manager or other authorised person and in accordance with Education Authority practices and procedures.
Main Duties and Responsibilities
Security
* Security of premises and its contents.
* Open and close premises and grounds, ensuring windows, doors and gates are locked each day.
* Safeguard keys, allocate to cleaning staff when appropriate, and ensure return after each working day.
* Operate and monitor security camera system and store produced tapes.
* Operate fire, burglar and building security systems; report faults.
* Attend after‑hour break‑ins and vandalism, secure premises, and inspect for damage.
* Report suspicious activity to the line manager during normal working hours.
* Report security breaches, such as found needles or illegal substances, as per policy.
* Apply grit/rock salt during snow/frost to keep pathways and entrances free of ice.
Mechanical and Electrical Services
* Operate boiler/heating system efficiently, ensuring energy conservation.
* Maintain lighting and heating of premises and common services.
* Requisition adequate fuel in time.
* Monitor and document fuel, water and electricity usage.
* Replace lamps, tubes and plugs to a height of 3.35 m using appropriate equipment.
* Inspect and report defects on firefighting equipment.
* Dose, clean and maintain water in swimming/hydrotherapy pools.
Cleaning
* Clean premises excluding the accommodation used solely for school meals.
* Plan, organise and control cleaning staff work, meeting Education Authority standards.
* Plan periodic work with service users and report plans.
* Recommend and implement procedural changes to improve economy or standards.
* Monitor suitability of materials and light equipment and advise when inappropriate.
* Keep hard surfaces, paths and ornamental grounds clean and litter‑free.
* Clear drains, gullies and kitchen grease traps to keep them free‑flowing.
* Wash and clean bins (including school meals bins). Empty litter bins daily.
* Provide ongoing cleaning service for spills, flooding, midday toilet cleaning etc.
* Replenish toilet rolls, soaps, paper towels.
* Inspect sandpits, remove sand and replace contents.
* Clean external signs, light covers and notices up to 3.35 m.
* Clean non‑electrical fittings of portable heating and ventilation equipment.
* Maintain adequate supplies within budget; store equipment properly.
* Report cleaning equipment defects to line manager.
* Prepare premises for after‑school activities and normal use.
* Direct cleaning of internal fixed glass surfaces up to 3.35 m.
* Ensure staff wear protective equipment and/or workwear as required.
* Investigate complaints about cleaning standards and advise line manager.
Porterage
* Receive and transport stores, materials and goods including school meals and milk materials; distribute to storage points.
* Dispatch laundry, goods and other materials.
* Assist with setting out and removal of tables and chairs when classroom used as dining area; clean the room.
* Transport refuse bins to collection points.
* Prepare rooms for examinations and other purposes.
Administration
* Prepare reports on cleaning and defects.
* Arrange authorised use of outside contractors and monitor their work.
* Complete paperwork and reports.
* Maintain records of consumable stocks and equipment inventory.
* Report electrical floor equipment defects immediately; keep repair records.
* Maintain attendance, holidays and absence records promptly.
Handyperson Duties
* Carry out tasks within competence of the post‑holder.
General Conditions
* Comply with Health and Safety at Work (NI) Order 1978, Acts of Parliament, statutory instruments and regulations, COSHH regulations and codes of practice.
Training
* Accept training for duties up to or including one's grade.
* Accept training for higher level duties; payment granted where authority requires.
* Conduct induction and refresher training for cleaning staff (if applicable) and keep records.
Elections
* Carry out duties related to elections when school is used for election purposes, as directed by the joint negotiating committee.
Other Duties
* Perform duties as required by grade.
Person Specification – Essential Criteria
* Minimum two years' recent demonstrable experience as an assistant building supervisor, building supervisor, caretaker, maintenance worker or cleaner in a formal paid setting, or possession of a recognised trade qualification (e.g., plumbing, joinery, electrical or equivalent).
* Experience supervising staff.
* Key holder responsibility; respond to call‑outs on short notice, including unsociable hours.
* Knowledge of school building supervision duties, health and safety regulations, manual handling regulations and use of security systems.
* Effective people management and motivation skills; ability to work collaboratively as part of a team.
* Excellent interpersonal, communication, administrative, planning and decision‑making skills.
* Alignment with the school's values and ethos.
