We are seeking a friendly, organised and dependable Administration Assistant to join our office at Chilmington Green Primary School. You will be the first point of contact for parents, pupils and visitors and provide essential administrative support that keeps the school running efficiently and safely. This is a busy, varied role that contributes directly to pupil welfare and the smooth operation of the school.
Key Responsibilities
Serve as first point of contact (reception, phone, email), presenting a professional, welcoming presence that reflects the Trust’s values.
1. Control site access in line with safeguarding procedures: sign in visitors, check ID where required, issue passes and report concerns to the DSL.
2. Manage the school inbox and telephone triage; forward messages and ensure response-time expectations are met.
3. Maintain and update MIS and paper records (admissions, contacts, medical, attendance) accurately and in line with data-protection requirements.
4. Monitor attendance and late arrivals; contact parents/carers, log reasons and escalate safeguarding or persistent absence concerns.
5. Prepare and distribute routine communications (letters, newsletters, emails) that uphold the school’s standards.
6. Maintain records to the school’s retention schedule and support the Trust’s data-protection expectations.
7. Undertake required training and follow all school policies, including safeguarding and health & safety.
What We’re Looking For
8. Recent experience in a busy reception or administrative role (school experience desirable).
9. Good IT skills (Microsoft Office) and willingness to learn the school MIS.
10. Strong communication and customer-service skills; a calm, professional manner, and the ability to work collaboratively within a team.
11. Excellent organisation, attention to detail and ability to prioritise competing tasks.
12. Discretion, integrity and commitment to confidentiality.
Position Details
13. Working pattern: Monday to Friday 8:00am - 4pm (37 hours per week)
14. Term time only working plus 5 days during school holidays (days will be agreed in advance with line manager)
15. Training: Training and development days may be off site at other schools therefore willingness to travel for these days and access to transport is essential
