The Opportunity

We're looking for an Office Manager to own the smooth, efficient running of our Twickenham lab and office. This is a hands-on, varied role, supporting both our leadership team and wider staff to ensure everything—from supplies and schedules to systems and workflows—runs seamlessly.

Working closely with the Operations Director and our science and creative teams, you'll be the go-to person for keeping the environment productive, organised, and welcoming. If you love juggling tasks, creating order from chaos, and supporting a team to do their best work, we want to meet you.

This role offers flexible hours (9:30am–3:30pm, 4 or 5 days per week) to fit around your lifestyle, while still making a big impact in a growing company.

Key Responsibilities

Office & Lab Coordination

* Manage day-to-day operations of the Twickenham site, ensuring a clean, organised, and well-stocked workspace.
* Oversee office and lab supplies, placing timely orders and negotiating with suppliers for best value.

Team Support

* Act as the central point of contact for staff queries, scheduling needs, and ad-hoc assistance.
* Help coordinate meetings, agendas, and follow-up actions across departments.

Operational Administration

* Manage incoming mail, deliveries, and office communications.
* Maintain accurate records, documents, and operational procedures.

HR & Onboarding Assistance

* Support with onboarding new staff and contractors, ensuring they have the equipment, access, and information they need.
* Keep HR files and training records organised and up-to-date.

Health & Safety Oversight

* Ensure all health, safety, and compliance processes are followed in the lab and office.
* Keep risk assessments and safety documentation current.

Process Improvement

* Spot inefficiencies in workflows and propose practical solutions.
* Introduce tools, systems, or practices that make the team's work easier and more productive.

About You

* Organisational Expert: You thrive on creating systems and keeping things running smoothly.
* People Person: You enjoy supporting others, building rapport, and being the friendly go-to problem solver.
* Adaptable & Hands-On: You're just as happy tackling admin as you are organising a delivery or helping prep a meeting.
* Detail-Oriented: You notice the little things that make an office work—and fix them before they become problems.
* Tech Confident: Comfortable with tools like Microsoft Office, Google Workspace, and basic project management software.
* Proactive: You anticipate needs before they arise and act without being asked.
