Job Summary

Ivy Medical Group is looking for an experienced, resilient and motivated Practice Manager to provide senior operational leadership across our GP practice. This full‑time, permanent role works closely with the GP Principal and wider team to ensure the smooth, safe and effective running of the organisation. Salary will be dependent on experience, with a planned start date of 1 September 2026. The position is based at Apple Tree Medical Practice and Lambley Lane Surgery in Burton Joyce, Nottinghamshire.


Responsibilities

* Operational management:
o Oversee day‑to‑day running of the practice, ensuring services are organised, responsive and delivered to a high standard.
o Ensure staff understand and fulfil their responsibilities, escalating issues appropriately to the GP Principal.
o Coordinate practice meetings, communication processes and operational planning.
o Support effective patient access, including digital‑first and total triage processes.
o Identify opportunities to improve efficiency, patient experience and service delivery.
* Staff leadership and HR:
o Provide functional management and support to clinical and administrative staff.
o Line‑manage designated staff groups, including administrative, reception, nursing, healthcare assistants, advanced clinical practitioners, assistant practice managers and salaried GP roles where appropriate.
o Manage recruitment, induction, retention, succession planning and workforce development processes.
o Support appraisal, training, staff development, performance management, disciplinary and grievance processes.
o Promote a positive, inclusive and professional working environment.
* Finance and business management:
o Support the GP Principal with practice finances, budgets, bank accounts, accounting systems, cash‑flow monitoring and financial controls.
o Work with relevant advisers and suppliers to ensure timely and accurate business administration.
o Support payroll‑related processes and maintain appropriate records.
o Identify opportunities to improve efficiency, income protection and financial resilience.
* Governance, compliance and quality:
o Maintain an effective overview of practice policies, procedures and compliance requirements.
o Support CQC readiness and progress action plans. Support achievement of QOF and other contractual requirements.
o Ensure appropriate systems are in place for health and safety, risk assessments, mandatory training, information governance, confidentiality and business continuity.
o Support audit, quality improvement activities and significance events.
o Ensure complaints are managed in line with current legislation and guidance.
* Premises, IT and systems:
o Oversee premises management, facilities issues and health and safety arrangements.
o Coordinate repairs, maintenance, supplier relationships and practice development work as required.
o Manage practice IT arrangements, delegating system administration tasks where appropriate.
o Ensure information governance, IT security and data protection processes are followed.
o Support effective use of clinical and administrative systems.
* Patients, stakeholders and external relationships:
o Support patient engagement, including the Patient Participation Group where appropriate.
o Maintain effective communication with patients, staff, partners and external organisations.
o Act as a key point of contact for NHS England, the ICB, PCN, community services, suppliers and other stakeholders as required.
o Work with PCN colleagues to support aligned service delivery.
* Strategic development and change:
o Contribute to the practice development plan and long‑term strategic objectives.
o Lead or support projects, service redesign and continuous improvement initiatives.
o Support premises development or other organisational development work where required.
o Help the practice respond to changing NHS, contractual, workforce and patient demand pressures.
* General:
o Maintain confidentiality at all times.
o Work flexibly and professionally to meet the needs of the practice.
o Hold and maintain a full UK driving licence, as travel between practice sites and local meetings may be required.
o Deputise for the GP Principal or represent the practice at internal and external meetings where appropriate.
o Carry out other reasonable duties in line with the role and grade.


Person Specification

Essential Experience:

* Experience of managing staff, including supervision, appraisal, performance and development.
* Experience of managing operational services in a public‑facing, healthcare or similarly regulated setting.
* Experience of financial management, budgeting, cash‑flow monitoring or accounting procedures.
* Experience of developing and implementing projects or service improvements.
* Experience of workforce planning, rota management or capacity planning.
* NHS primary care or GP practice management experience.

Desirable Experience:

* Experience working with PCNs, ICBs, QOF, CQC or wider NHS contractual requirements.
* Experience managing premises, health and safety, complaints, information governance or clinical systems.

Essential Knowledge, Skills and Personal Qualities:

* Excellent written, verbal and interpersonal communication skills.
* Strong IT and digital systems skills.
* Ability to prioritise, delegate and work to deadlines in a fast‑paced environment.
* Strong leadership skills with the ability to motivate teams and maintain morale.
* Ability to develop, implement and embed policies and procedures.
* Proven problem‑solving, analytical and judgement skills.
* High standards of confidentiality, integrity and discretion.
* Confident, resilient, flexible and solution‑focused.
* Full UK driving licence.

Desirable Knowledge, Skills and Personal Qualities:

* Knowledge of CQC requirements, QOF, NHS primary care contracts and information governance.
* Clinical system user skills.
* Relevant health and safety knowledge.
* Ability to support strategic planning, premises development and service redesign.

Essential Qualifications:

* Good standard of education with excellent literacy and numeracy skills.

Desirable Qualifications:

* Degree‑level qualification in healthcare, business, management or a related field.
* Leadership or management qualification.
* AMSPAR qualification or equivalent primary care management training.
