Overview

We are looking to recruit an enthusiastic and motivated Band 5 Administration Services Manager to join the Breast and Endocrine Surgery Team. The position is permanent, 37.5 hours per week and worked across hospital sites.

Responsibilities

As the Administration Service Manager, you will be responsible for:

* The management and provision of administrative, clerical and secretarial support for the service.
* Leading the administration team in all managerial functions including HR, competency and efficiency and developing and co-ordinating the delivery of high-quality training, ensuring training delivery meets service needs and is delivered professionally and effectively.
* Ensuring optimum use of physical capacity throughout administration teams to deliver service, and ensure robust plans are in place to develop and improve the administrative role in line with new practices.
* Ensure effective management of clinics and rotas.
* Support with performance monitoring of Cancer and Referral to Treatment standards.
* The post holder will participate in the development of corporate objective, policies, standard operating procedures and strategic plans. The post holder will be expected to organise their own workload and that of the Care Group administrative teams.
* You will demonstrate excellent organisational skills, flexible approach and able to exercise initiative.

Main duties of the job

* Manage and support the administrative and clerical team, supporting Breast and Endocrine Surgery.
* Work collaboratively with administrative and clerical colleagues, clinical staff and senior management.
* Monitor and facilitate team members appraisals and provide mentorship and supervision where required.
* Manage waiting lists in line with Trust Policy.
* Manage performance in line with Cancer Standards and Referral to Treatment Pathway.
* Manage HR processes in line with Trust Policy.
* Work within and stay up to date with Trust legislation, guidelines, policies, procedures, protocols and code of conduct and ensure adherence.
* Facilitate and manage changes to working practices for own area.
* Establish and continue improvement of office information systems and procedures to ensure an efficient and effective service.
* Manage difficult conversations, including conflict management and clear, empathic communication.
* Be aware of technology used to support processes.
* Develop and maintain an efficient system of working.

Person specification

Education/Qualifications Essential criteria:

* GCSEs (A-C) or equivalent
* NVQ Level III Business Administration or equivalent
* Managerial knowledge acquired through degree or relevant experience
* Willingness to undertake further training in Management
* ECDL or equivalent experience using Microsoft Word, Excel and Powerpoint

Desirable criteria:

* Qualification in Management or Leadership
* Teaching/Training Qualification

Experience Essential criteria:

* Previous NHS experience at supervisory level
* Experience of using Trust IT systems
* Knowledge of Digital Dictation Systems
* Experience providing an Audio Typing Service
* Good understanding of administration and medical secretarial roles/function
* Experience mentoring and developing others
* Ability to make clear presentations and train diverse audiences
* Assessing and planning workload for others

Desirable criteria:

* Experience in developing, designing and tailoring training materials
* Experience in leading redesign or change management

Skills Essential criteria:

* Clear and concise communication with sensitivity
* Change implementation and problem solving
* Prioritise workloads of others
* Negotiation skills
* Ability to work independently or as part of a team
* Prioritise and assess situations
* Work under pressure and maintain quality
* Experience in supervising and motivating a team
* Time management
* Excellent interpersonal and influencing skills

Desirable criteria:

* Understanding of Trust internal policies
* Experience managing stationery and stock levels

Knowledge Essential criteria:

* Medical terminology
* Knowledge of NHS policies
* Train others using best practice

Other Requirements Essential criteria:

* Comply with Trust policies and procedures
* Maintain confidentiality (Data Protection Act)
* Willingness to undergo further training as needed
