Job Overview
We are seeking a highly organised and detail-oriented Office Administrator to join our team. The ideal candidate will possess a strong background in administrative tasks and office management, ensuring the smooth operation of daily activities. This role requires excellent communication skills, both written and verbal, as well as proficiency in various software applications.
Responsibilities
* Manage day-to-day office operations, ensuring efficiency and effectiveness.
* Handle incoming calls with professionalism and courtesy, demonstrating excellent phone etiquette.
* Perform data entry tasks accurately and in a timely manner, maintaining up-to-date records.
* Utilise Microsoft Office and Google Workspace to create documents, spreadsheets, and presentations.
* Assist with bookkeeping tasks using QuickBooks, including invoicing and expense tracking.
* Maintain an organised filing system for both physical and digital documents.
* Provide clerical support to team members as needed, including typing correspondence and reports.
* Coordinate office supplies inventory, placing orders when necessary to ensure adequate stock levels.
* FINANCIAL RESPONSIBILITIES
* Collect and administer resident monies and petty cash
* Provide finance department with documentation as required.
* Raise Invoice to funding authorities /Bookkeeping
Qualifications
* Proven office experience with a strong administrative background is preferred.
* Proficient computer skills, particularly in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
* Familiarity with QuickBooks is advantageous but not essential.
* Excellent organisational skills with the ability to manage multiple tasks simultaneously.
* Strong typing skills with attention to detail for accurate data entry.
* Previous clerical experience is desirable, showcasing your ability to support office functions effectively.
* A proactive attitude towards problem-solving and a willingness to learn new systems or processes as required.
