Job Overview

A vacancy at University Hospitals Coventry and Warwickshire NHS Trust. As part of a team of administrators the post holder will be responsible for overseeing and coordinating parts of the medical teaching programme for Foundation Years 1 and 2 in the West Midlands South Foundation rotation and the IMT residents programme at UHCW. This involves working with the Foundation team and the IMT team (Foundation Training Programme Directors for FY1 and FY2, the IMT Clinical tutors and the medical education administration team).

Attendance at University Hospitals Coventry and Warwickshire NHS Trust – rated as good by the Care Quality Commission.

Job Responsibilities

1. Work as part of the postgraduate team to provide administration support to the Foundation TPDs and the IMT Clinical Tutors, in partnership with the Foundation medical education administrators.
2. Collate the Foundation training & IMT programmes.
3. Work with co-workers to respond to all trainee queries regarding access to HORUS & E-portfolio and other resident inquiries.
4. Provide cross cover and work effectively as part of the full medical education administration team.
* Act as a point of contact for all relevant activities, ensuring enquiries are effectively managed and resolved promptly, with appropriate records maintained.
* Keep all documentation up to date, orderly, and accessible for decision-making; report exceptional circumstances as required.
* Contribute to training improvement agendas by undertaking project work, collecting data, and producing reports and spreadsheets in line with Trust guidelines.
* Share ideas for service improvement and implement an efficient office management system, including time management, scheduling, meeting arrangements, and effective correspondence management.
* Support team members by explaining departmental practices, providing training and development, and offering cross-cover on a reciprocal basis.
