We are seeking a proactive and organised Part Time Administrative Assistant to support our Residential Lettings team on a temporary basis. There could be an opportunity for the role to become more permanent. The successful candidate will be responsible for providing efficient administrative support, ensuring smooth communication and assisting with day-to-day operations related to property lettings. Flexibility and strong organisational skills are essential for this position, which is ideal for someone looking to gain valuable experience within the property sector.
Principal duties and responsibilities:
* Dealing with general day to day correspondence via telephone and email
* Handling new property and existing tenant enquiries by telephone and email
* Adding properties to the internet portals for marketing
* Preparing Tenancy Agreements
* Initialising referencing processes
* Using Property Management software for the ongoing management of a significant number of properties
* Ensuring legal requirements relating to residential lettings are adhered to. e.g. landlord's gas safety inspections, EICR's and EPC's
* Assisting with maintenance issues – instructing and chasing contractors and ensuring that invoices are promptly sent to the accounts team for payment
* Working closely with our Office Manager and Property Managers
Requirements:
* A self-motivated person is required who can work closely within a small team to ensure our professional standards are maintained
* Comprehensive working knowledge of Microsoft applications, including Word, Excel and Outlook. Knowledge of Residential Lettings and use of software would be an advantage, such as Alto etc
* Attention to detail and the ability to work under pressure is essential
* The ability to communicate effectively with clients, tenants, contractors, in a friendly and professional manner is vital
* A flexible attitude to work responsibilities is required
* A driving licence is essential
* Working hours will be part time Monday to Friday (no weekends)
