We are looking for enthusiastic and dedicated individuals to join us as Reception Administrators for a number of clinic sites across the borough, with both full-time and part-time roles available. The role requires working across clinic sites on a rotational basis and may include evening and weekend cover. Short notice cover for annual leave or sickness may be required.

Main duties of the job
To provide an efficient, effective and high-quality clerical and reception service within designated Health Centres associated with Hillingdon Community Adults and Children’s Services. To act as front of house and receive, assist, and direct patients, staff and visitors to appropriate services.
To provide general assistance and support basic administrative needs of the Hillingdon Community Teams located within sites. The postholder will work closely with the wider Hillingdon Administration service including dedicated Team Administrators.

Detailed job description and main responsibilities

To work as part of a team providing reception support front of house, greet visitors, provide basic information, and handle drop-in enquiries in a courteous manner. Refer clients to relevant staff/clinics or take messages as appropriate.
* Open/close clinic sites in line with security protocols.
* Have a good understanding of Hillingdon Adults and Children Community Services to provide information and advice.
* Operate the telephone system, redirecting enquiries and maintaining an effective message-taking system.
* Arrange appointments and maintain up-to-date filing of client records.
* Facilitate booking and use of interpreting or transport services as required.
* Enter and maintain basic information about appointments on the patient information system.
* Ensure clerical work from each clinic is completed; use IT systems as required to support health centre staff.
* Maintain an up-to-date display of health education literature in the reception area.
* Provide general office support (filing, shredding, post distribution and sending).
* Maintain good Health and Safety practices; order supplies and stock as directed by Site Supervisor/Team Leaders.
* Support logging of complaints/ compliments and incidents on Datix.
* Act as point of contact for contractors and for site team leaders for Facilities Management matters.
* Assist in maintaining a service calendar and support fire and workplace risk assessments as directed by line manager.
* Undertake training and responsibilities of a Nominated Officer of Fire.

Qualifications and Education
* GCSE or equivalent in Maths and English
Experience
* Experience of working in a customer care setting or a role that demonstrates transferable skills.
